RESPONSIBILITIES
- Liaising with various SMU and external service providers.
- Good knowledge of hostel IT system eg Starez in assisting to process student application and generate reports (eg occupancy, billing, arrears etc).
- Prepare notes of minutes, reports, surveys and presentations, managing business operation matters relating to guests, optimising the use of school facilities and ensuring prompt and efficient operational flow in the Housing Office, and attending to work as assigned.
- Assisting Hostel manager and Residential Fellow team to plan and process room allocations.
- Handle check in and check out processes.
- Process billing and monitor aging and arrears management.
- Assisting Hostel manager and Residential Fellow team for spot checks on apartment conditions where necessary.
- Attending to residents' requests and feedback and following up with contractors where necessary.
- Checking and attending to maintenance and repair works, working with Facilities team where required.
- Monitoring services of contractors and service providers eg pest control, landscaping, security guards, cleaning etc.
- Liaising with external hostel operators where required on SMU students' feedback and complaints to ensure they are resolved.
- Required to be flexible to work on selected weekends and adjust your working hours as necessary to perform some of the duties as assigned.
- Able to multi-task and work well under pressure during peak periods of hostel operations ie June to Aug and also Sept to Oct as the team is lean.
QUALIFICATIONS
- A tertiary qualification in Office Administration, Business Management or related disciplines. Candidates with other related qualifications are also encouraged to apply
- At least 3 to 5 years of experience in student affairs, hostel management, in administrative and operation related work in schools, training institutes, welfare homes, or private companies or a related role, preferably in an international school setting.
- Possess effective and exceptional customer service skills and strong interpersonal skills.
- Strong administrative and data analytical skills with the ability to collect, organize, analyze, and disseminate information with attention to detail and accuracy and problem-solving skills.
- Ability to be a meticulous team player and possess excellent organisational and administrative skills, and also work independently and within a team and in a standalone location from main campus
- Resourceful and able to work under pressure, ability to multitask and prioritize tasks effectively.
- Proficient in MS Office (Word, Excel and Powerpoint).
- Adept at queries, report writing and presenting findings.
- Strong understanding of the challenges faced by international students.
- Ability to work effectively in a multicultural environment.
- Experience in liaising with vendors and managing utilities and bills is a plus.
- Knowledge of Singapore's educational landscape and regulations is an advantage.
