Job Description: Admin Executive (Bilingual, HR & Administration Focus)

We are looking for a dedicated Admin Executive to handle a variety of office administration duties, with a focus on supporting HR operations, managing staff-related tasks, and ensuring compliance with company policies.

Roles & Responsibilities:

1. General Administrative Support: Perform data entry, maintain databases, and assist with other computer-related tasks.
   Handle phone calls and correspondence, including e-mails and letters.
   Assist in preparing and managing invoicing tasks.
   Supervise and support staff operations, including planning, organizing, and implementing administrative systems.
   Coordinate daily office activities to ensure efficiency and compliance with company policies.
   Undertake any other tasks assigned by management.
   
2. HR Support: Assist in time sheet checking and coordinate with the HR team on staff-related matters.
   Maintain and update time attendance and leave records for employees.
   Submit reports related to absenteeism, leave requests, and other HR metrics.
   Handle administrative support for Chinese-speaking employees, including translating documents and facilitating communication.
   
3. Facilities & Operations Support: Act as a point of contact for facilities-related inquiries.
   Collaborate with facilities management, vendors, and contractors to ensure timely and effective resolution of maintenance and repair issues.
   Compile and coordinate maintenance activities, repairs, and service requests.
   
4. Document Management & Compliance: Maintain and organize office documents, records, and any other administrative paperwork required by management.
   Ensure adherence to company policies and compliance with regulatory standards.
   

Requirements:

• Minimum Education: Diploma or O-Level, Nitec, or equivalent.
• Experience: At least 2 years of experience in a related administrative role with Construction company.
• Communication Skills: Strong written and verbal communication skills in English and Mandarin (preference).
• Computer Proficiency: Strong proficiency in Microsoft Office applications.
• Personal Attributes:Responsible, diplomatic, and a proactive self-starter with a "can-do" attitude.
  Strong organizational skills and ability to multi-task effectively.
  Meticulous, detail-oriented, and able to prioritize tasks efficiently.

1. Administrative Support

• Manage day-to-day administrative tasks, including filing, data entry, and document preparation.
• Assist in drafting and proofreading correspondence, reports, and official documents.

2. Scheduling and Coordination

• Coordinate and schedule events for the Director.
• Manage calendars and ensure timely communication of schedules to relevant parties.
• Arrange travel and accommodation for Director, as needed.

3. Communication Management

• Serve as the primary point of contact for incoming calls, emails, and inquiries.
• Draft, distribute, and follow up on internal and external communications.
• Liaise with vendors, clients, and other stakeholders to ensure smooth operations.

4. Office Management

• Monitor office supplies and place orders to maintain adequate stock levels.
• Ensure the office environment is organized, clean, and conducive to productivity.
• Oversee office equipment maintenance and troubleshoot minor issues.

5. Data and Records Management

• Maintain accurate and up-to-date databases and filing systems.
• Handle sensitive and confidential information with discretion.
• Compile, organize, and analyze data for management review when necessary.

6. Operational Support

• Provide support for projects, including research, coordination, and execution of tasks.
• Assist in tracking deadlines, deliverables, and progress on key initiatives.
• Manage special assignments or ad-hoc duties as assigned by management.

7. Policy and Procedure Compliance

• Ensure that administrative practices align with company policies and procedures.
• Assist in the development and implementation of office policies.

Job Description :

· Document Control support for QA / QC records & documents

· Involved in Non-conformance investigation and follow through Corrective Action Reports

· Provide assistance to the quality team for Client and Internal reports.

· Monitor and update calibration register for all measuring equipment, and arrange recalibration as required

· Verification of Calibration Certificates

· Conduct compliance reviews to ascertain the level of compliance with relevant policies and procedures

· Generate and compile FA reports & documents for Customers

· Any other ad-hoc duties as assigned

Job Requirement :

· NITEC / Diploma holder with at least 2 years of experience in manufacturing / metal fabrication environment

· Able to multi-task and work independently in a fast-paced environment

· Demonstrate initiative, good planning and organizing skills, and attention to detail

· Possess good interpersonal and communication skills

· Understanding of QMS, EMS & OHASA system is an advantage

Job Summary:

The Freight Coordinator manages the movement of goods to ensure timely and cost-effective delivery. This role involves coordinating with clients, carriers, and internal teams to handle all aspects of shipping, from booking and tracking to documentation and customer service.
