• Handle HR-related correspondence, such as employment letters, confirmation letters, and employee communications.
• Support payroll administration and benefits administration processes.

IPC Compliance and Reporting

• Stay updated on IPC guidelines and regulations issued by the Commissioner of Charities (COC) in Singapore.
• Assist in ensuring compliance with IPC requirements, including governance standards, fundraising regulations, and annual reporting.
• Support the preparation of accurate and timely submissions to COC and other regulatory bodies.
• Assist in internal audits and reviews to ensure compliance with IPC guidelines.

HR Policy Implementation and Documentation

• Assist in implementing HR policies and procedures that align with the organization's values and IPC guidelines.
• Communicate HR policies to employees and provide guidance on HR-related matters.
• Support the dissemination and training of HR policies to ensure consistent understanding and compliance among employees.
• Assist in maintaining and updating HR policy documents.

Recruitment, Onboarding Support, Employee Engagement and Welfare

• Assist in recruitment activities, including posting job advertisements, screening applications, and scheduling interviews. Conduct reference checks and assist in coordinating pre-employment assessments.
• Support the preparation of employment contracts and ensure compliance with relevant employment laws and regulations.
• Assist in facilitating the onboarding process for new hires, including conducting orientation sessions, and managing documentation.
• Support employee engagement initiatives, such as staff events, recognition programs, and employee feedback mechanisms.
• Assist in administering employee welfare programs, such as insurance schemes, employee assistance programs, and wellness initiatives.
• Address employee queries, concerns, and grievances, ensuring timely and appropriate resolution.
• Collaborate with relevant stakeholders to foster a positive and inclusive work environment.

Requirement

• Diploma or Bachelor's degree in Human Resources Management or a related field. Relevant HR certifications are a plus.
• Some exposure or familiarity with Institutions of Public Character (IPC) guidelines and regulations issued by the Commissioner of Charities.
• Basic understanding of Singapore's employment laws and regulations.
• Strong attention to detail and organizational skills, with the ability to manage multiple tasks simultaneously.
• Proficiency in MS Office suite and HR information systems.
• Excellent interpersonal and communication skills, with the ability to work effectively with diverse stakeholders.
• Ability to handle sensitive and confidential information with discretion.
• Proactive and eager to learn, with a willingness to take on new responsibilities and develop HR skills.

Position Summary

This position will support the management of foreign labour management and administrative matters.

Tasks and Responsibilities

• Manage the application, renewal and cancellation of work passes for direct employees
• Assist in the management of subcontractors by:
• Monitoring their headcount & reporting
• Online application, renewal and issuance of work permit
• Linking & delinking of contractors
• Close monitoring of contractors’ mandatory payment like CPF and levy contributions
• Assist in the benefits administration of employees
• Assist in the organization and facilitation of events.
• Assist in claims from telco, hospitals, travel agencies and others
• Assist in travel bookings for employees on ad-hoc basis
• Any other ad-hoc admin duties to support the departments at yard as assigned

Job Requirements

• At least 1 to 2 years work experience in administration and HR fields. Entry level candidates will be considered
• Minimum Diploma in Human Resource Management, Business or related discipline.
• Knowledge in work pass is an added advantage

• Project contract based (start from 29 Jan, estimated 27 months until project completion)
• Work Location: Changi Naval Base; Project Office nearby Lavender MRT
• Working days: Alternate Saturday 5.5 days 8am to 5pm // 8am to 12pm
• Salary: $3000 to $3500

Requirements:

• At least Diploma/Degree in Information Technology/Computer Science or equivalent
• At least 3 years of experience in the related field is required for this position.
• Possessing CompTIA, A+, MCTS is at an advantage

Responsibilities:

• Install, configure, and troubleshoot hardware, including printers, computers, projectors and other IT Peripherals.
• Troubleshoot and resolve network connectivity issues, Microsoft Office, HR and Accounts Software applications, Adobe etc
• Communicate with IT vendors for the maintenance and software license expiration
• Liaise and negotiate with vendors on purchasing of office technical equipment, software required
• Manage IT security such as installation and maintaining Anti-Virus for all desktops/laptops or IT devices and perform weekly data backup for all servers.
• Create LAN Network and assign IP address when necessary
• Provide Helpdesk support for all users
• Cloning image and Setting up of new PCs / Notebooks such as creating email account, mailbox setup etc.
• Assist in setting up of CCTVs images in office premises and end users
• Good technical knowledge of the latest operating systems & network protocols.
• Performing any other IT related duties (e.g. updating of company website)
• Maintaining Software & Hardware Inventory and Proper Documentation
• Other ad-hoc duties as assigned.
