The role reports to the Global CFO supporting Asia and responsible for overseeing and coordinating various operational activities within the organization. He / She will process payments to our external partners and maintain up-to-date records of all invoices and receipts. The person will also keep track of inventory, maintaining financial / sustainability and client records, handling maintenance issues and providing administrative support as needed.
Operations
- Work with colleagues in China and Europe to ensure that all inventory record are kept up to date
- The person will also assist the Operation Manager in maintaining / coordinating sustainability related work
Payments / Administrative
- Processing payments for our suppliers and vendors by inputting into banking platform
- To follow up, ensure authorizations are obtained promptly and record all payments on a timely basis
- May call upon to assist in data entry into the accounting system and maintain accurate financial records, maintenance of proper filing systedm, ensuring all records are in proper order.
- Banking matters - cheque deposits, token application etc
- Provide assistance with Admin and Corporate Secretarial Services
- Assist in liaising with external stakeholders e.g. auditors, tax agent, company secretary, etc.
- streamlining filing systems, and performing ad-hoc tasks
REQUIREMENTS
· Min O level or equivalent
· Strong organizational and multitasking skills, with attention to detail and accuracy.
· Ability to communicate effectively with internal teams and external partners via phone calls and Whatsapp messaging
· Proficient in Microsoft Office (Word, Excel).
· Impeccable time-management skills
· Capability to stay organized and maintain detailed records
· Excellent communication skills and ability to collaborate effectively with cross-functional teams.
· Proficient in spoken and writing English and Chinese / Mandarin (in order to communicate with Chinese counterparts)
