- Respond to all general inquiries and/or direct the queries to appropriate managers or staff
- Maintain cleanliness of the reception area; Ensure the reading materials (i.e. newspapers, magazines and company brochures etc.) are up-to-date and displayed in a neat and orderly manner
- Receive, direct and relay telephone messages and fax messages
- Answer all incoming calls with the LAIO greeting
- Filter calls and independently take decisions based on the caller and agenda
- Arrange conference room on need basis for internal/external meetings
- Arrange for video conferencing and conference calls in a timely manner
- Maintain an adequate inventory of office supplies; Update preferred supplier list on a periodic basis
- Monitor the distribution of office supplies and equipment across departments/teams in an equitable manner
- Coordinate with relevant third parties for timely repair and maintenance of office equipment
- Get quotations from multiple vendors for procurement of consumables, stationery and other office equipment
- Assist in oversee re-selling, recycling and transfer of equipment, furniture, etc. at sites (post project completion) and offices (during renovation) through third party agencies; Follow-up for collection of payment from respective buyers in case of re-selling
- To support the Operations Director on various administrative matters
- Sort through incoming documents and forward to the concerned persons
- Coordinate with courier agencies for timely dispatch of outgoing documents
- Maintain general office filing systems and file documents accordingly
- Update general information such as employee telephone numbers and location on an on-going basis; Share the same with internal/external persons as requested
Job Requirements
- Diploma in Business Administration or any related fields
- Has at least 3 years of experience in similar role
- Possess an outgoing personality and able to work independently
- Proficient in MS office applications such as Ms Outlook, Word, Excel
- Sensitive with numbers to assist in the checks for invoice received
