About the Role:
- Assist with preparing pre-qualification documents for tenders and inquires.
- Register leads/opportunities in Engage and maintain to current status, when required.
- Follow up on quotations/proposals from identified vendors/sub-contractors.
- Working with the operation team and updating the finance file for monthly forecasts of secured contracts and ad hoc opportunities.
- Support the operation team for Ad hoc quotations, review the quotation with Team leaders for customer submissions, follow up with customers for conversion to POs, and collect the work completion DO from Team leaders. Submit the ad hoc BR with the HOD approval and submit admin for invoicing.
- Collect the completed contract PM/ASD service report, review it, and work with the HOD to improve it. Submit the contract BR with the HOD approval and submit admin for invoicing
- Support vendor follow-up quotations for ad hoc jobs and contract renewal.
- Vendor management and maintain the shared booth.
- Overtime review of both contract and ad hoc as per planned BTR (Costing sheet).
- Ops SharePoint management with Team Leaders - contract document, BTR, completed service report, leave planning and standby, Ad hoc status, and Finance forecast and results.
- Manage order processing and collaborate with operations/project teams to ensure smooth execution of newly secured orders
About You:
- Degree in Business Administration, Operations Management, or a related field.
- Prior experience in sales support and operations roles is an advantage.
- Proficiency in preparing pre-qualification documents for tenders and inquiries.
- Familiarity with financial forecasting for secured contracts and ad hoc opportunities.
- Skilled in preparing and reviewing ad hoc quotations with team leaders and submitting customer approvals for invoicing.
- Capable of collecting, reviewing, and improving service reports for contract performance.
- Experience in vendor management and renewal processes.
- Strong attention to detail and organizational skills.
- Excellent communication and interpersonal skills for coordinating with teams, vendors, and customers.
- Problem-solving mindset with the ability to multitask and prioritize effectively.
- Proactive and self-motivated, with a commitment to meeting deadlines.
