The ITCE will render IT operational support which includes the provision of IT services, troubleshooting, managing IT assets, IT procurement etc. He/she will also coordinate and work with both internal and external stakeholders to ensure that the IT systems can provide associated IT services to our residents and staff.

· Assist the Information Technology / Cybersecurity Manager to plan and implement new IT support services and initiatives for residential care, day care, respite care or other services as necessary

· Manage day-to-day IT operations of Vanguard entities. These include:

a. Maintaining and reviewing IT policies to ensure that they are kept up-to-date and relevant for the current set up.

b. Preparing for yearly audit of IT Infrastructure and ensuring all documentation is kept up-to-date.

c. Conducting regular system audit for IT effectiveness, efficiency and security

d. Managing outsourced vendors contracted to provide IT services such as.:

i. EUC devices support

ii. Login user accounts

iii. Mailbox licenses management & renewal

iv. Creation & deletion of mailboxes as necessary

v. Procurement of new EUC devices, MS licenses and installation of software

vi. IT security

vii. Regular system updates, upgrades, migrations and outages

viii. Review security logs on access, password management and accounts

e. Assisting to maintain and manage all IT contracts and renewals

f. Overseeing the maintenance of Vanguard website and Domain name

g. Providing IP Telephony support:

i. Obtain approval from Head, Corporate Services to install IP Telephony system for the new Care Home / Senior Care Centre sites

ii. Coordinate with the Care Home Operations team and vendor to deploy IP Phones

iii. Manage and work with vendor to resolve any IP Telephony problem

· Assist the Information Technology / Cybersecurity Manager to plan, implement and manage all IT network, systems and data security measures against cyber-attacks.

· Conduct IT security awareness training programs and workshops for staff

· Provide regular operation system reports to Head, Corporate Services

· Identify opportunities for team training and skills advancement

· Work with all stakeholders to identify and provide responsive support on IT requirements

Any other duties assigned by the supervisor

Educational Requirements & Experience:

• Diploma/Degree in IT-related field with at least 2-years working experience
• Qualification in IT professional certifications like CCNA, MCSA/MCSE, ITIL and CISSP etc
• Possess strong troubleshooting and good problem-solving IT skills in relation to diagnosing and solving both technical hardware / software faults
• Strong proficiency in Microsoft Office applications
• Minimally 2-years’ experience in Microsoft Windows software, HP Networks, Microsoft Servers and Fortinet Firewall.
• Knowledge of cyber security and cloud computing will be an advantage.
• Ability to attend to details and respond swiftly to work demands
• Has good written and verbal communications skills
• Has good organizational skill and ability to identify and resolve IT issues in a timely manner
• Ability to stay updated on new technologies and IT innovations

 Maintaining daily books of account on an ongoing basis

 Reconcile records of bank & cash transactions regularly

 Maintaining and reviewing the bank reconciliation statement regularly

 Preparation of Balance sheet and P&L after closing of the books of account

 Maintaining detailed schedules of key accounts for financial audit purpose

 Preparing various MIS from the accounting records as per the Management requirement

 Checking the bills of vendor for correctness and preparation of cheques for utilities, taxes & other payments

 Preparing and recording the customer invoices on the basis of mandate

 Reviewing the Debtors outstanding on an ongoing basis and report on overdue balances

 Receive & record cheques/cash and other receipts received from customers & other income

 Analysing fund balance and preparing documents for placing of bank deposits

 Recording & ensuring proper filing of payments vouchers, Bank Documents, Receipts, Clients Invoices and vendor bills etc

 Assisting in payment of Advance Tax, TDS payment & Filing TDS returns, Service tax calculation, service tax payment & filling return.

 Handling routine correspondence.

 Preparing a database/repository of new circulars/ pronouncements etc., as may be applicable.

 Liaising with Auditor, Company Secretary and Banks

 Liaising with Govt agencies like IRAS, ACRA etc

 Preparing invoices

 Following up on payments/receivable

 Quarterly preparation of abridged accounts

 Preparing GST report and Submission every Quarter

 Tax Computation and Corporate Tax Filing (Form C)

Roles & Responsibilities

The main responsibilities of the role will include (but not limited to):

Client and relationship:

· Act as a point of contact for the clients on their day to day affairs, with supervision where necessary, and ensure that all communication, whether written or spoken in a professional manner;

· Maintain good relationship with clients;

· Respond to and deal with client queries in a professional and timely manner

· Ensure that the manager is kept up to date with any issues arising from the client or itsactivities

Service provision:

· Prepare financial data for entry into the accounting system

· Ensure all receipts are updated in the accounting system on timely basis

· Handle the banking of cheques into bank accounts on timely basis

· Handle accounts receivables and accounts payables

· Prepare bank reconciliation and audit schedules

· Prepare monthly payslips for payroll purpose

· Handle account closing up to the monthly trial balance, income statement and balance sheet

· Handle quarterly Goods and Services Tax filing

· Handle corporate secretarial documents and annual return filing

· Compilation of accounts or reports (preparation of unaudited report)

· Liaising with external auditor

· Handle corporate tax computation and tax return filing

· Perform other ad-hoc duties as assigned

Requirements

· Minimum Diploma/Degree in Accountancy/Finance;

· Fresh graduates are encouraged to apply.

· At least 2 years of professional firm experience will be an advantage.

· Experience of auditing or tax (corporate income tax) will be an advantage.

Salary: $3,000 - $4,000 per month
