Human Resource Assistant ( 5 day week – Jurong East)

Roles and Responsibilities

• Maintains accurate and up-to-date human resource files, records, and documentation.

• Prepare monthly payroll for supporting companies

• New employee onboarding process – prepare letter of appointment, conduct briefing

• Process work passes application (WP, SPass, EP), renewal, and cancellation.

•Prepare headcount working hours reports for billings & other admin duties or tasks as assigned

Responsibilities:

• Prepare and issue invoices promptly and follow up on outstanding payments.
• Process daily accounts receivable transactions, manage cash flow, and maintain accurate financial records.
• Monitor and address overdue accounts, ensuring timely collections and maintaining an up-to-date aging report.
• Support month-end closing activities, including transaction recording, posting journal entries, and assisting with bank reconciliations.
• Generate and distribute monthly account statements to customers.
• Perform administrative tasks such as filing, handling emails, and answering phone calls.

Requirements:

• Minimum "O" Level certification or equivalent; accounting-related qualifications are an advantage.
• 1-3 years of experience in accounts receivable or general accounting functions.
• Proficiency in MS Office (Word, Excel) and accounting software.
• Strong attention to detail, organizational skills, and the ability to manage time effectively.

Responsibilities:

1. Daily Task:

• Review and process payment requests, ensuring accuracy and compliance with company policies.
• Check and approve templates in financial systems.
• Work closely with accountants to ensure timely processing of payments.
• Coordinate and arrange signers' approval for financial documents.
• Monitor and validate sales invoices against internal reports.

2. Monthly, Quarterly, and Year-End Tasks

• Download and reconcile trial balances and general ledger reports.
• Prepare and maintain balance sheet schedules.
• Ensure accurate and timely submission of intercompany invoices and statements.
• Send reminders for monthly report submissions and critical deadlines.
• Compile financial data for internal and external audits.

3. Other Responsibilities

• Provide support during financial closing periods by ensuring all tasks are completed on time.
• Assist in maintaining compliance with financial and regulatory requirements.
• Address ad-hoc financial tasks and reporting as assigned by the finance manager.

Requirements:

• Proven experience in finance or accounting roles, preferably in a support capacity.
• Min 3 to 5 years work experience
• Financial Software such as JD Edwards E1 and Microsoft Office.
• Strong analytical skills and attention to detail.
• Ability to handle multiple tasks and meet strict deadlines.
• Excellent communication and coordination abilities.
