Work Dynamics - Integrated Facilities Management

Property Executive duties and responsibilities include planning and executing strategies for completing property management, periodic preventive maintenance, reactive maintenance and maintenance projects within KPI and in a timely manner. Property Management and Maintenance

■ Manage and maintain the property and keep it in a state of safe, good and operational condition

Key Accountabilities:

Purchasing, Procurement and Contract Management

The Property Executive is responsible for purchasing and procuring goods and services as well as administering the contracts to deliver high standards of services.

• Perform purchaser’s duty including sourcing and negotiations with reliable and reputable vendors / suppliers / utilities providers;
• Prepare tender documents, budgets, calling of quotations, evaluation of bid proposals including undertaking cost comparisons and preparing recommendation of awards for contractors / vendors;
• Prepare and issue Services Contracts / Purchase Orders / Work Orders / Letter of Award in a timely manner;
• Manage daily procurement and contract administration requirements;

The Senior/ Property Executive supports the Asset (Building) property management teams to ensure smooth day-to-day operations, including both soft services, i.e. housekeeping, security, landscaping etc. and hard services, i.e. mechanical and electrical systems.

• Ensure all services and systems are operating according to standard at all times, including but not limited to trouble shooting, visiting to sites and assets regularly, actively engaging relevant teams and stakeholders, and attending to complaints; and
• Act as the primary liaison between contractors and the property management teams to address tenancy and common area issues and execute plans to improve operations.

Tenancy Delivery

The Senior/ Property Executive supports works required to coordinate with relevant teams to ensure smooth delivery for tenants.

• Understand and able to review design plans, mechanical and service plans; and
• Identify gaps, defects and rectification process, and organize and manage works required, including but not limited to procurement of works, organizing hoardings and security, liaising with shopfitters and contracts, managing loading and parking, etc.

Budget Reporting

The Senior/ Property Executive supports works required for managing budgets for overall operations and various projects.

Provide regular financial reporting, monitor and assist with budgeting for various projects, where applicable.

Essential requirements for this role :

• Degree or Diploma in quantity surveying, procurement, supply chain management, estate management, building, engineering, mechanical or related discipline

• 3 years of strong building operations and technical experience with risk management focus in managing facilities and M&E systems
