· Diploma holder with relevant working experiences
· Records/Information/Knowledge Management Skills (good to have)
· Digital literacy & IT savvy e.g. MS Office applications, experience with knowledge management systems
· Project Management skills e.g. stakeholder collaboration, task management
· Analytical and problem solving skills e.g. identify gaps in processes and provide solutions
· Ability to handle tasks independently
· Communication and interpersonal skills e.g. ability to engage effectively with internal and external stakeholders
· Attention to details e.g. during review of appraisals and submissions to NAS
· Change management skills e.g. supporting change management initiatives and follow-ups post implementation to ensure smooth transitions
Job Description
- Provide support to the KM Team and Directorates on the housekeeping of documents, files and emails in in-house system for migration to Secured Repo (S repo)
- Pre-migration to S Repo e.g. provides advice to Directorates during reclassification process, work with stakeholders to map/rename existing folders (based on their contents) to National Archives of Singapore (NAS) approved taxonomy, splitting of high resolution (e.g. TIFF format) files/documents based on upload file size limitation in S Repo
- Post migration to S Repo e.g. work with stakeholders to move documents, files and emails into the existing NAS approved taxonomy and assist Secure Repo Agency Admin in the creation of new folders in S repo, set-up/verification of access rights in S repo
- Work with Directorates to create new taxonomies for secret records e.g. provide advice to KM reps on the completion of Series Appraisal forms for submission to NAS (include series appraisals for Confidential records where applicable)
- Liaise and follow up with NAS on new series appraisals (include series appraisals for Confidential records where applicable)
- To curate and customise KM briefing materials on StellarNet/S Repo in relation to PMOSG’s context
- Work with stakeholders to develop any Change Management materials as required for StellarNet/S Repo
- Post StellarNet implementation follow ups e.g. surveys roll out
- Any other tasks assigned by reporting officer
