Job Title: Manager, Merchandise Operations

Reporting into: Sr. Director, Omnichannel Merchandise Planning & Wholesale Operations

Primary Purpose: The Merchandise Operations Manager is responsible for overseeing and maintaining all business processes, operations, and data management that support the Tapestry Asia wholesale and direct merchandising business channels. The successful individual will be responsible for:

Showroom Management

• Manage key project milestones in conjunction with seasonal line opening schedule.
• Liaise and own end to end sample ordering process with Global Showroom, Global Merchandising, and Product Development team in NY.
• Coordinate and manage all relationships with third party vendor and suppliers such as venue landlords, catering & event planning, and design companies.

Wholesale Market

• Support wholesale market process prep by liaising with product merchandising, global merchandising, VM and sales team on key product launches and ensure smooth market week activities.

Master Data Management

• Manage all customer and product master data updates and hierarchy changes to all systems (SAP, NuORDER, LMS, ecVision)
• Support wholesale account and distributors POS (Point of Sale) portal maintenance and working with account management to resolve any issues (ediCom).
• Publish and maintain seasonal Master SKU List publication for all product data

Not-For-Sale Product Management

• Own end to end ordering process for packaging and uniforms with suppliers including payment process
• Process bi-weekly Not For Sale (NFS) orders for wholesale accounts, coordinating with accounts services and logistics teams. Products includes packaging, uniforms, VM, marketing collaterals (GWP and PR samples).

Key Responsibilities:

Activation Management

• Respond within four (4) hours notice to a disaster area to act as Community Outreach Manager, managing relief operations on the ground, or in rare cases, remotely.
• Lead and manage field teams specializing in community outreach and engagement. Ensure strategic and streamlined implementation of relief activities on the ground, operationalizing WCK’s North Star values.

Community Outreach

• Rapidly scout community needs in a disaster area to design the scope of the response, and ensure that food reaches beneficiaries as quickly and effectively as possible. 
• Foster a collaborative environment with local populations; establish and nurture relationships with community members throughout the activation.  
• Gather feedback from beneficiaries to understand evolving needs and changes on the ground. Utilize findings to recommend the scope of WCK support, including potential scale up or wind down strategies. 
• Build and maintain relationships with community members to understand overall food needs, feedback on WCK performance, and other concurrent mass-feeding activities.

Budgeting and Logistics

• Work with the finance team and Response Director to share cost projections for community outreach operations, focusing on meal production and logistical needs.
• Collaborate with the procurement and logistics team to source materials and supplies efficiently and ensure timely delivery to affected areas.

Personnel Management and Training

• Recruit, train, and motivate diverse community outreach teams on activation, ensuring a high-performance culture aligned with WCK’s North Star. 
• Provide leadership, mentorship, training and support to team members, promoting a culture of urgency, accountability, adaptability and continuous learning within the team.
• Address personnel issues on activations in real time, and provide regular performance feedback on Corps members. 
• Support the recruitment of Corps members, and manage personnel effectively on the ground to foster growth and ensure a diverse pipeline of activation leadership.
• Identify professional development needs and gaps in team capabilities to arrange for appropriate training, and provide this feedback to relevant stakeholders for implementation.  

Community and Stakeholder Engagement

• Build strong relationships with local communities first. 
• Ensure the teams conduct outreach and engagement activities that contribute to WCK’s reputation as an effective, compassionate, and reliable relief organization.
• Represent WCK in the field, acting as an ambassador to beneficiaries, partners, and the media, as required.

• Ability to spend up to 70% of the time in the field. The typical duration of an activation is four (4) weeks, though timelines could be longer. 
• Must live within one (1) hour of an international airport or be willing to relocate. 
• Willingness and ability to travel frequently to remote and potentially hazardous locations within four hours notice.
• Bachelor's degree and/or equivalent preferred, or 5+ years of experience in management roles, preferably in fast paced, ever changing environments; including military, emergency response, culinary, humanitarian or event management settings.

1. Attend scheduled departmental meetings as required.
2. Review systems and processes for workflow and productivity improvement.
3. Perform administrative duties such as inventory and filing of reports as required based on the assigned duty given within the Butler Team.
4. Observe the usage of supplies to ensure that it’s within budget and minimize wastage.
5. Contribute ideas in support of the company vision, mission, value and guiding principles
6. Actively involve to sustainability programmes to drive organisational green initiatives
7. Perform any other duties and responsibilities as and when assigned by Management

JOB REQUIREMENTS

Education

• Minimum GCE O Level
• Diploma or Bachelor Degree in Hospitality Management from a recognized institution is an advantage

Required Experience

• Minimum 1 year experience in the same capacity
• Good guest relation and problem solving skills
• Good planning and execution skills
• Ability to manage time, organize, good communication and motivational skills
• Meet the attendance guidelines of the job and adhere to departmental and company policies

Required Knowledge

• Proficient in the use of Property Management System and all relevant property management systems such as FCS, LIS
• Basic knowledge in Microsoft Office applications
• General knowledge is recommended: F&B; local activities; world culture is an advantage

Skills / Abilities / Presence

• Candidates must have a good command of spoken and written English, and any additional language is an advantage

• Monday to Friday: 9:00am~6:00pm
• Saturday/PH: 9:00am to 3:00pm (Once a month) (Additional allowance will be paid)

Job Scope:

• Prepare and send quotations, and process customer purchase orders.
• Provide top-notch support via phone, email, and chat for customer inquiries and issues.
• Handle claims for shipment delays, defective items, and pricing errors.
• Correct part number errors and coordinate with suppliers for lead time adjustments.
• Communicate with stakeholders about customer orders.
• Promote and assist customers with ordering through our e-commerce store.

Requirements:

• Experience in order processing and handling of customer’s enquiries
• Exeperince handling large volume of sales order
• Good Excel skills
