We are actively seeking a long-term Junior Administrator/Receptionist to join our friendly team in Singapore. The suitable person must be meticulous and able to do basic adminstrative duties, is familiar in Ms Office and communicates well in English.

Job Description

Assist with administrative duties such as data entry and filing.

Handle incoming and outgoing mails and deliveries.

Answer phone calls and handle customer inquiries and requests professionally and promptly.

Greet and welcome visitors, and staff with a warm and friendly demeanor.

Monitor and maintain the reception area cleanliness and organization.

Able to work independently.

Requirements available to work :

Monday to Thursday 09:30am to 4:30pm

Expected Salary : $1,600-1,800 per month

Expected Start Date : 03 February 2025

Support project teams in various project phases of projects from planning to delivery. This could entail helping with documentation, minutes, task tracking, etc.

Support the project teams in project related events/meetings, including security clearance and/or project/site clearance for staff and contractors.

Plan, implement, execute and oversee all aspects of an event.

Process purchase orders and perform acceptance, in a timely and accurate manner.

Co-ordinate and work closely with suppliers to ensure timely deliveries of goods and information to internal stakeholders.

Support on related reporting and administrative duties, interface with vendor regarding products and services needed.

Meet project deadlines as assigned. Coordinate and execute meeting logistics and event.

Support new business processes by conducting research as well as drafting credentials and proposals. Participate actively in internal and client meetings, offering knowledgeable observations and suggestions; maintains self-awareness and professionalism to ensure contributions are appropriate.

Maintain self-driven passion and actively develop knowledge of client issues and related industry trends, establish relationships with key opinion leaders, participate in industry networking events and inform team leaders of potential new business opportunities.

-Answer Phone/Take Messages

-Mail, Parcel and Courier/Shipment - Collect mail, parcel courier and check mail every 2-3 days, arrange for courier or parcel

-Pantry, Stationery and Office equipment - Responsible for Pantry and Stationary Supplies, including all drinking water, snacks and disposable crockeries matters

-Printer - responsible for all company printing and printer issues, including but not limited to printing supplies, paper, maintanance and payment issues

-Season Parking and vehicle usage - Ensure monthly season parkings for all vehicle in the company are paid on time and the usage report is updated daily

-Attendance - Taking and accounting of all employee attendance in company on a daily basis, recording of all tardiness, MC and applicable Leaves

-Electric, Phone and Internet Monthly Bills - Ensure phone bill of company and Directors are settled on monthly basis

-Government Grant - successfully apply and get grant from government when instructed

-Training - arrange and ensure selected employees are sent for training when instructed

-Office Access - Update access list and ensure access is given only to authorized employees

-Safe Entry - Enforce and ensure all company employers/es strictly follow the safe entry requirements as dictated by the government

-Filing - ensure filing system in company is strictly enforced

-Preparation and update of SOP - take time and effort to setup, maintain and update all Standard Operating Procedures for admin duties

-Setting up of company email, printing of name card for relevant employees
