MAJOR DUTIES AND RESPONSIBILITIES

(A) SPECIFIC

1. Doctors' Professional Matters Administration

· Facilitate the progression process for Temporary and Conditionally registered doctors under the Singapore Medical Council Supervisory Framework, ensuring compliance with registration criteria.

· Assist in the submission of applications for additional/change of Practice Place.

· Manage the extension and renewal of Practicing Certificates for medical staff.

· Coordinate the Joint Committee on Specialist Training and House Officer Accreditation application process, including site inspections and accreditation tracking.

2. Medical Manpower Planning and Support

· Maintain the Medical Staff listing and Directory of Services, ensuring accuracy and relevance.

· Maintain an updated register of sub-committees and workgroups under the Clinical Board’s purview, handling appointments, renewals, and dissolutions.

· Regularly update job descriptions of all doctors.

· Organize and provide administrative support to retreats and events.

3. Training and Development Support

· Administer the Medical Observer (local/overseas) programme, handling Temporary Registration and logistical support.

· Facilitate the Clinical Fellowship programme, coordinating applications between relevant authorities and departments.

· Manage the Yishun Health and Ministry of Health Visiting Expert Scheme, from application to logistical support during visits.

· Administer the Ministry of Health Health Manpower Development Plan, including application facilitation and logistical support.

· Coordinate medical staff continuing medical education/training programmes, such as HMDP Sharing Sessions and Clinical Forums.

Track Compulsory Courses and Peer-Review Learning activities by medical staff and Junior doctors.

(B) GENERAL

· To provide secretariat support various committees/ workgroup under Yishun Health and ensure proper documentation of all meetings and follow-up.

· To participate in projects and task as deem appropriate by Assistant Director/ Deputy Director/ Assistant, Chairman Medical Board.

· To render administrative and professional support in hospital-level operation functions and events.

Accounts Executive is responsible for overseeing all finance and procurement activities. The AE will be responsible for all financial reporting to director. He or she will coordinate all procurement and finance activities.

Minimum 3 years experience required in finance related field.

Financial Management

• Monitor project and core spending against agreed budgets to identify potential project under or over-spends
• Review and approve payments prepared by all staff of AGPG
• Maintain banking relations and plan, monitor and control country cash flow requirements and cash security to ensure the smooth implementation of the school feeding programme
• Work with the management to formulate, develop, implement and update AGPG Finance policies, procedures, and manuals.
• Develop, implement and maintain appropriate information systems, including the accounts/financial information maintained on the country’s accounting system.
• Ensure the integrity of financial records and accounting system and that all transactions are recorded.

Procurement:

• Monitor business trends and product availability to pay the best price for goods and services without sacrificing quality.

Diploma in Arts / Design / Visual Communications or equivalent. (Minimum 1 year working experience in relevant design fields.)

- Take photography with digital camera/iphone, edit photography and short video shooting (all equipments will be provided)

- Proficiency and well-versed in Adobe Creative Suite, including Photoshop, Illustrator, and InDesign.

- Has to be meticulous, with a strong sense of urgency and good time management skills. Able to work under tight deadlines and pressure.

- Stay updated on current trends and produce fresh and innovative content.

- Create digital assets such as web graphics, banners and layouts to enhance our online presence and user engagement throughout the year.

- Manage the day-to-day handling of company’s website and all social media platforms.

- Develop and execute comprehensive content marketing strategies and adapting content to suit different platforms.

- Drive social media engagement and followers.

- Analyze and report on social media performance metrics, and use data to improve our social media strategy.

- Manage our online reputation by monitoring and responding to customer’s feedbacks and reviews.

- Any relevant ad hoc duties assigned as and when required.

Job Description

• Manage projects/contracts assigned from planning to execution and provide timely status updates to management.
• Prepare budget paper and review specifications to call new contracts or contract renewal.
• Liaise with Procurement on sourcing events including evaluation, award, approval, and creation of agreement in SAP system.
• Plan and monitor budget unitization for all contracts.
• Monitoring vendors/contractor’s performance and evaluation.
• Oversee contracts and ensure contractors fulfill contract terms, legal and safety obligations.
• Conduct sites show to brief contractors on work details.
• Monitor contracts unitization and renewal on time without lapses.
• Perform review on contract usage, payment verifications and vendors evaluation.
• Any other appointment/tasks assigned

Requirements

• Preferably 2 to 3 years working experience in Facilities/Property Management or Contract Management.
• Diploma or Degree in related fields.
• Experience with financial institution regulatory requirement and risk management expectations related to outsourcing and vendor management is an advantage.
• Strong analytical and problem-solving skills.
• Excellent interpersonal skills with proven ability to develop and maintain effective vendor and regulatory relationships, influence decisions and collaborate effectively across the organization.
• Proven ability to review, monitor and recommend amendments to contracts and implement business processes to manage against contractual obligations.
• Excellent knowledge of MS Office (Excel, Word and PowerPoint).
• Knowledge in SAP and Ariba would be an advantage.
• Good verbal and written communications skills
