Under the supervision of the Regional Finance Director PCD TR APAC, you will be a key business partner in understanding and analyzing the complex yet fascinating and growing Travel Retail business of the APAC region. As part of the Finance Team, you will have a significant role into defining the PCD TR APAC financial equation through the different forecast exercises and closings, participating in making sure the financial operations run smoothly at the right level of data quality. Also, you will be a key contributor in various optimization and revamping projects of our financial processes. The position is based in Singapore and your main stakeholders will be the accounting teams and operational Teams of the different areas.

YOUR MISSION_________

• Running controlling & financial operations: To be Actively involved in the day-to-day operations of the department and therefore of the whole region. This includes making sure our expenses are booked at the right level of expectation, on a timely manner following the right phasing and proper affectation within our financials.
• Analysis & reporting: Partnering with the different stakeholders to analyze the gaps and inconsistencies that may arise from those bookings vs our expectation and report back to the business / management with necessary recommendations or alerts.
• On the regulatory side, to ensure the actuals are aligned with accounting standards, respecting regional, central and internal control guidelines. To conduct in-depth financial analysis when required, providing insights to the Management. To build-up and sustain a reporting environment that allows the stakeholders to access their key financials data and a seamless manner.
• Continuous improvement: To be proactive into identifying, proposing to Management and coordinating improvement of our financial processes at local or regional level. To be a key coordinator / contributor toward central initiatives that are aiming at improving our financial processes and information workflows.

Job Summary
We are seeking a meticulous and proactive Corporate Secretarial Assistant cum Document Controller to support our administrative, document management and corporate governance functions. This role involves managing critical documents, coordinating with directors for wet ink and electronic signatures, and ensuring compliance with regulatory requirements. The ideal candidate will report to the Regional Corporate Secretary in Singapore and should ideally possess a can-do-attitude, exceptional organizational skills, attention to detail, and the ability to handle confidential documents with discretion. 
 
Job Description

Document Management and Coordination:

1. Arrange for wet-ink and e-signatures for various corporate documents involving Directors/Shareholders/external Stakeholders.
2. Facilitate apostille and notarization services with the notary public in Singapore and relevant bodies /consulars/ embassies.
3. Ensure all documents are stored securely with proper naming conventions in SharePoint or other document management systems in a timely manner.

 
Compliance and Regulatory Support:

1. Maintain Statutory Registers and ensure compliance with the Companies Act of Singapore and other relevant regulations under the supervision of the Regional Corporate Secretary.
2. Maintain corporate records such as original Share Certificates, Power of Attorneys, Agreements, Statutory Returns, Resolutions and other corporate documents for all legal entities, in compliance with the statutory and regulatory requirements of Singapore.
3. Timely update of the APAC Monitoring List or similar regulatory compliance lists and corporate secretarial trackers.
4. Create and maintain organizational charts and corporate structure diagrams of the various APAC entities.
5. Providing administrative and operational support to the Regional Corporate Secretary and Regional Legal Counsel in Singapore.

 
Documentation Related Work

1. Formatting word documents; preparing execution versions of agreements; converting pdf to word; creating compare documents; merging/consolidating documents; combine multiple files into a single document or create zipped/compressed sets for streamlined distribution.

The Junior Financial Analyst will support the finance team in data analysis, financial forecasting, and reporting. • Minimum a Bachelor’s degree in Finance, Accounting, or a related field.

Key Responsibilities:

• Month-End Close Management: Lead and manage the month-end close process, reviewing full legal entity transactions, including accounts payable, general ledger, P&L, balance sheet, accruals, and flux analysis for Asia Pacific countries.
• Financial Reporting: Ensure the timely preparation of reporting packages and financial statements in accordance with US GAAP and Local GAAP.

• Revenue Accounting: Oversee revenue accounting, billing, and revenue operations.
• Outsource Management: Lead and manage outsourced service providers on accounting, tax, and regulatory compliance.
• Policy Guidance: Provide guidance to business stakeholders on policies and procedures.
• Stakeholder Collaboration: Work closely with senior management, finance teams, and business stakeholders in Asia Pacific and globally.
• Process Improvement: Lead and implement improvements to streamline, standardize, scale, and automate processes, procedures, and controls.
• Team Mentorship: Act as a subject matter expert to mentor and nurture a growing team of accountants.

Qualifications:

• Degree in Accounting or equivalent; CPA, CIMA, CA, or ACCA certification added advantage.
• 10-15 years of experience, with at least 4 years in a Big 4 audit firm and at least 5 years in general accounting and FP&A in a complex, multi-country global organization.
• Experience managing internal and outsourced teams.
• Strong understanding of accounting outcomes and ability to explain accounting treatment.
• Proficiency in US GAAP and Local GAAP, with experience in preparing financial statements.
• Knowledge of tax compliance and familiarity with local tax laws and statutory requirements in Asia Pacific countries.
• Strong business acumen and FP&A business support experience, with the ability to translate financial numbers into business insights.
• Excellent interpersonal skills, with the ability to work effectively in a team-oriented environment across different countries and cultures.
• Ability to manage multiple and shifting priorities in a dynamic environment.
