The primary job descriptions are as follows, but are not limited to:

• Offer general administrative assistance to the HR department.
• Oversee the recruitment and selection processes for new staff.
• Draft and prepare HR-related correspondence.
• Address and manage employee-related concerns.
• Handle HR personnel files, track attendance, and manage leave records.
• Maintain and update employees’ personal data files.
• Oversee the upkeep and maintenance of factory facilities and office equipment.
• Register for courses, process pass applications, and update records as needed.
• Apply for work permits and manage matters related to the Ministry of Manpower (MOM).
• Perform any other ad-hoc tasks as required.

Responsibilities:

• Prepare, update, and maintain complete documentation in a digital archive
• Assist with the preparation of HR-related reports and presentations
• Conduct and prepare basic data analysis from spreadsheets and data sets, and convert to Powerpoint slides
• Update changes to Org Charts
• Regular liaison and correspond with HR Services on HR related matters
• Interact with managers and employees to disseminate HR revised policies and procedures information
• Respond to employee inquiries regarding HR policies, benefits, and other HR-related matters
• Maintain a positive connection with employees and monitor and resolve employee complaints if any
• Keep up to date on current issues and matters related to the HR policies and procedures, local labour laws and regulations
• Any ad-hoc tasks as assigned

Requirements:

• Diploma in Human Resources, Business Administration, or a related field.
• Minimum of 2-3 years of generalist experience in HR and administration.
• Knowledge of HR processes and best practices
• Excellent organizational and time-management skills.
• Strong communication and interpersonal skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), including familiarity with V-Lookup and Pivot Table in MS Excel
• Comfortable with doing basic data analysis for HR issues such as OT hours trends, attrition rates and other HR related metrics
• Comfortable in using HRIS systems, experienced with Success Factors being advantageous
• Ability to maintain confidentiality and handle sensitive information.
• Detail-oriented with strong problem-solving skills.
• Ability to work independently and as part of a team.
• Strong knowledge of local manpower laws and regulations is an advantage.
• Someone who prefer to work in fast-paced and dynamic work environment.

• Execute all stages of Talent Acquisition, including sourcing, conducting interviews, selecting candidates, negotiating offers, facilitating onboarding, and conducting new hire orientation.
• Coordinate and maintain relationships with educational institutions for internship and other programs (e.g., Work-Study Diploma).
• Provide assistance with leave management and benefits administration (including insurance), as well as oversee the monthly payroll process, work pass administration, and participate in governmental surveys.
• Oversee procedures related to staff confirmation, contract renewals, resignations, and salary review processes.
• Ensure timely completion of the off-boarding process, including conducting exit interviews and obtaining exit clearances.

Requirements:

• With Diploma or Higher in related field.
• At least 3+ years of experience in related working experience.
• Well-versed in MS Office Applications.
• Excellent communication skills
