Job Description

Job Summary:

The Accounts and Administration Officer will be responsible for managing both financial and administrative tasks to support the smooth running of the business. This role involves maintaining accurate financial records, handling accounts payable and receivable, and ensuring efficient office management. The ideal candidate will be detail-oriented, highly organized, and capable of multitasking in a fast-paced environment.

Key Responsibilities:

Accounting Duties:

1. Financial Record Keeping: Maintain accurate and up-to-date financial records, including managing the general ledger, accounts payable, and accounts receivable.
2. Invoicing and Collections: Prepare, issue, and follow up on invoices. Manage overdue accounts and collections.
3. Bank Reconciliation: Perform monthly bank reconciliations and ensure all transactions are recorded accurately.
4. Expense Management: Process and monitor employee expense claims, ensuring compliance with company policies and guidelines.
5. Financial Reporting: Prepare monthly, quarterly, and annual financial statements, including P&L, balance sheets, and cash flow reports.

Administrative Duties:

2. Documentation and Filing: Maintain and organize company records, including contracts, employee files, and financial documents, ensuring they are up-to-date and accessible.

Qualifications:

• Education: Diploma or bachelor’s degree in accounting, Finance, Business Administration, or a related field.
• Experience: Minimum of 2-3 years of experience in accounting and administrative roles.

Job Responsibilities

• Required to perform basic safety and health functions in accordance with the Occupational Safety and Health (Safety and Health Officer) Regulations.

Requirements

• Shall complete the relevant training courses approved by the Commissioner for Workplace Safety and Health.
• 5 years of practical experience as WSHO in engineering construction industry.
• Have relevant experience in the safety, health, environmental, and security role in projects of similar scale and complexity, and familiar with water reclamation plant projects in Singapore.

KEY RESPONSIBILITIES:

• Source spare parts for vehicles and construction machinery/equipment.
• Request and compare quotations from suppliers/vendors to ensure the best value.
• Prepare and process purchase orders based on approved requirements.
• Maintain accurate records of purchase transactions and order confirmations.
• Track and manage delivery timelines to ensure parts arrive as scheduled.

Responsibilities of the Job:

• Immediate handling of incoming vessel purchase orders
• Send orders to appropriate suppliers for quotes.
• Price negotiations and order follow-up with suppliers
• Evaluate incoming quotations and confirm supplier selection following Superintendent/Technical Manager or higher authority permission.
• To work closely with the warehouse and suppliers to ensure on-time delivery.
• Send instructions to the supplier.
• Keep the vessels and Vessel Managers informed of any delivery.
• Contact with the port agents of the vessel
• Clearance through customs
• Based on the practical arrangements made by the Vessel Manager, make the necessary official bookings for service and repairs.
• Maintain and update the supplier's database across many platforms.
