Your Role

We are looking for an experienced Personal Assistant to provide high-level confidential support to the Director by delivering full secretarial and administrative service to an International Human Resource & Immigration company.

What Will You Do

• To manage Director's calendar, for meetings, events, expense reports, and claims submission.
• To plan and schedule meetings according to Director’s requirements.
• To coordinate internal meeting arrangements for the Director.
• To prepare and compile meeting materials, such as presentation decks, files, reports and other information.
• To follow up with relevant parties to ensure timely submission of materials prior to the meeting.
• To attend meetings or discussions with the Director and record minutes, including person's responsible for the follow-up action points and timeline for completion.
• To follow up with relevant parties and record progress of follow-up action items prior to the next meeting.
• To conserve the Director's time by reading, researching, collecting and analysing information as needed ahead of time.
• To maintain an organized system for tracking, monitoring and prioritising contacts, tasks, and projects for the Director.
• To coordinate key initiatives and projects on behalf of the Director.
• To support the Director in the management of her IT equipment (e.g., laptop, printers and office phone), mobile devices as well personal and corporate software applications.
• To support the EC in planning, organising and executing personal matters.
• To manage sensitive matters with a high level of confidentiality and discretion.
• Be responsive to emails/ text messages/ phone calls, with contact outside normal business hours.
• To perform any other tasks and duties assigned by the Director.

What Do We Want

• At least a Diploma/ Degree in a relevant field, preferably in Human Resource Management/ Marketing
• At least 2 years of experience in office administration work
• Strong written and verbal communication skills.
• Have strong knowledge in MS Word, Excel, and PowerPoint.
• Familiar with Social Media platforms and applications.
• Good interpersonal and communication skills.
• Good knowledge of MOM/ CPF/ ICA/ IRAS or other immigration work will be an advantage

Job Description:

• Workplace at Plaza Singapura or Tampines One
• Responsible for opening and closing of shop (depending on the shift)
• Cashiering duties using POS
• Provide sales assistance to customers
• Manage and liaise with Production on behalf of customers for orders via outlet
• Manage food delivery platform systems and orders
• Replenish and refill display counter
• Maintain cleanliness of retail area and display shelves

Mon to Thurs 8.30am - 6pm

Fri 8.30am - 5.30pm

Duties and responsibilities

• Ensure accounts payable invoices, petty cash and E-staff expenses claims (Prosoft) are processed accurately and timely.

• Ensure GST recognition is in compliance with IRAS regulations.

• To check and ensure payments are properly supported and authorized according to Group Policies and Processes.

• Prepare and update principal supplier’ reconciliation on a monthly basis.

• Handle and resolve internal and external vendors’ inquiries and issues.

• Ensure Zero unallocated payments in ERP system.

• Petty Cash management.

• Other ad-hoc duties as required and/or assigned.

Skill Required

• Diploma or Degree qualification.

• Min. 3 – 4 years of experience in Accounts Payable.

• Independent, analytical and a positive working attitude.

• Proficient in accounting software and Microsoft Word and Excel.

• Good time management and comfortable working in fast-paced environment with high voluminous transactions to meet deadlines.

• Good team player with good communication and initiative.

• Performed detailed work with accuracy and speed.

• The position required to communicate with counterparts in China

Retail Assistant – Adventure Gear and Apparel

Location: Central

Working hours: 5 Day Work-week, OFF days: 1weekday & 1weekend

• Handle sales transactions accurately, including operating the point-of-sale system and managing cash.
• Support inventory management tasks such as stock replenishment and regular inventory checks.
• Stay up-to-date with the latest products and trends in outdoor sports to provide informed recommendations.
• Contribute to a positive team environment and assist with ad-hoc tasks as needed.

Requirements:

• Proven retail experience, preferably in outdoor or sports-related products.
• Passion for adventure, hiking, climbing, or outdoor sports, with firsthand experience preferred.
• Excellent interpersonal and communication skills.
• Availability to work retail hours, with one weekday and one weekend off per week.
• Energetic, customer-focused, and eager to share your love for outdoor activities.
