Job Description:

• Manage the full recruitment process, from job posting and candidate sourcing to conducting interviews and coordinating with hiring managers.
• Partner with the department heads to identify staffing needs and ensure timely and effective hiring.
• Handle applications, renewals, and cancellations of work passes in the compliance with regulatory requirements.
• Serve as the primary point of contact for work pass matters, ensuring timely and accurate processing.
• Use Info-Tech software to manage HR functions, including e-attendance, leave applications, and claims submissions.
• Assist staff with the use of the Info-Tech systems, troubleshooting any issues and coordinating with relevant teams for support as needed.
• Manage end-to-end onboarding and offboarding processes, including preparing necessary documents, conduction tours, and handling exit formalities.
• Provide an orientation tour to all new hires, familiarizing them with the company culture, facilities, and key personnel.
• Prepare and distribute company memos and communications in both English and Chinese to ensure clear and effective communication across all levels.
• Support general office administration tasks as needed.
• Assist in organizing company festive events and celebrations, coordinating venues, and materials to promote team engagement and a positive workplace culture.

Job Requirement:

• Diploma or bachelor’s degree in human resources, Business Administration or a related filed.
• 1-3 years of HR experience including recruitment, preferably in the automotive or a similar industry.
• Proficiency in Info-Tech software is required.
• Strong proficiency in MS Office.
• Bilingual in English and Chinese, with the ability to prepare written communications in both languages.
• Strong communication and interpersonal skills, with the ability to interact with staff at all levels.

Requirements:

• Diploma/ Degree in Business Administration, or related field.
• At least 5 years of experience in HR and admin in Construction Industry.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Comprehensive HR knowledge, especially practical experience in employee relations, recruitment, performance management and employee development.
• Must have working experience in handling construction workers.
• Self-motivated with the ability to deliver under pressure and without constant oversight.

Job Description:

• Provide day-to-day support for HR functions.
• Maintain and regularly update master database (personal file, personal database & etc.) of each employee.
• Assist in recruitment & selection activities.
• Administer onboarding / exit clearance activities
• Handle work passes application, renewal and cancellation.
• Maintains company organization chart and employee contact list.
• Liaise with insurance company on staff insurance and claims
• Administer training related matters including coordination or enrolment of internal & external courses, update & maintain training record etc.
• Handle disciplinary issues of workers.
• Assists to prepare and submit IR8A for all operational workers.
• Manage workers’ dormitory.
• Handle company certificate (BCA/ Slots/ Bizsafe) & Company Insurance, WICA
• Perform general office administrative duties such as stationary / pantry requisition and maintenance of office equipment / facilities
• Any Ad-hoc assigned by your superior.

This position works under the direct supervision of the Resource Coordination Specialist or Public Affairs Officer (PAO) designee and is the Public Diplomacy (PD) locally employed (LE) Staff responsible for managing all administrative aspects of the PD Section.

Main Responsibilities:

• Supports Established Opinion Leaders (EOL), Emerging Voices (EV), and Strategic Content Coordination (SCC) specialists and assistants for exchanges and other public engagement programs and activities.
• Supports grants administration; tracks and collaborates on PD budgets and expenditures.
• Oversees PD section time & attendance, staff travel, representation, vouchers, and other administrative tasks; manages program calendars.
• Serves as the primary point of contact for the PD Section, ensuring that visitors receive accurate and timely information with the highest levels of customer service.

Requirements:

• A bachelor’s degree in business administration, financial management, organizational management, accounting, or public administration, OR

• Fluent oral and written English language skills and possess excellent written and oral communication skills.
• Must have strong analytic skills to manage funding from multiple sources, each with different requirements for purpose, oversight, and accounting.
• Strong management skills are required, including the ability to develop and oversee logistics with partner institutions and manage complex events.
• Must have excellent customer relations, interpersonal and cross-cultural communication skills.
• Ability to use various computer software programs, specifically Microsoft Word, Excel, and databases, as well as PD-specific software, databases, and reporting tools, is required.
