• Assist and support Director and Senior Management in managing their calendars, scheduling meetings, appointments and follow up on action items to ensure timely completion
• Assist with various projects and business initiatives, including preparing reports, conducting research and coordinating with cross-functional teams
• Answer phone calls, take messages, reply to emails and handle all correspondences for the director
• Plan for business trips and make relevant reservation for flight, accommodation and ground transportation
• Experience in coordinate company events and engagements; liaise with relevant event organisations and event associates
• Organize and maintain both physical and electronic files, documents and records
• Maintain strict confidentiality on sensitive information, both within and outside the organisation
• Provide extensive secretarial/administrative support including but not limited to calendar management, scheduling meetings for various departments if necessary
• Provide extensive support for company activities such as teambuilding activities, Business travel arrangements, Company quarterly and annual meetings
• Manage the reconciliation and submission of expense reports, ensuring strict adherence to company policies and guidelines
• Run errands as requested and manage any other ad-hoc duties assigned from time to time
• Handle office administrative tasks, including expense management, vendor coordination, and office supplies management
• Serve as the first point of contact for visitors, greeting them professionally and direct them to the appropriate personnel or location

Job Description:

• Perform general administrative duties such as data entry, organization of files, documents etc.
• To assist Order Desk and Receiving Dept in performing daily order, invoicing, goods receipt and month end closing.
• Assist in any ad hoc office duties

Requirements:

• You should be self-initiative, confident, flexible and able to work independently.
• 5.5 days work week, working hour Mon - Fri 9am to 6pm / 10am to 7pm, Alterative Sat 9am to 1pm.
• Good listening and communications skills and experience in customer service
• English: spoken and written
