We are seeking an experienced and highly organized Administrative Manager (Customer Service) to oversee the day-to-day operations of our office and ensure the smooth functioning of all administrative processes.
The Admin Manager will be responsible for maintaining a productive work environment by managing office resources, coordinating with various departments, and ensuring compliance with company policies.
This role requires excellent communication, problem-solving, and multitasking skills to support the team and ensure operational efficiency.
Key Responsibilities
- Liaise and assist external finance company on matters for payroll, company tax, and monthly general accounting admin
- New employee orientation
- Upkeep records of confidential information of employees and contractors
- Liaise with external HR company on work pass application
- Application and Maintenance of Company licenses with SPF, MOM, SFA and LTA.
- Work with external vendors to manage support software and AI automation systems
- Oversee and manage customer service/admin team in the execution of the following
- Reviewing and validating customer purchase orders
- Manage new customer account setup and credit approval
- Processing customer order entry into Company Ordering Portal and SAP in a timely and accurate manner
- Making direct contact with customers to resolve any order related issues
- Managing backlog orders and work with internal parties to resolve any order and/or delivery issues not meeting promised delivery dates or project schedules
- Ensuring orders shipped are invoiced in a timely and accurate manner, including obtaining support documents like proof of delivery
- Provide secretarial support to Managing Director and General Manager
- Management of office team for general upkeep of the office
