We are seeking a proactive and highly organised individual to join our team as an Office Manager for a 4-month maternity leave cover. This role will require weekend availability. Training will be provided to ensure a seamless transition.

Position Overview:

As the Office Manager, you will play a key role in overseeing the day-to-day operations of the swim school, ensuring a high standard of customer service and operational efficiency. This position involves managing administrative duties, coordinating staff schedules, handling communications, processing invoicing, assisting with payroll, and providing support across various facets of the school’s operations. Additionally, the role requires weekend work to ensure smooth functioning during peak operational times.

Key Responsibilities:

• Manage day-to-day office tasks which includes answering phone calls, responding to emails, and handling customer inquiries on social media platforms (Instagram and Facebook).
• Provide excellent customer service, addressing concerns, answering questions, and ensuring a positive experience for all students and families.
• Update the CRM system with relevant information, such as upcoming blackout days and monthly announcements, ensuring all stakeholders are informed of important events and changes.
• Communicate critical updates regarding pool closures, coach substitutions, class cancellations, and other key information to all relevant stakeholders in a clear and timely manner.
• Track coaches annual leave, assist with arranging substitute instructors and managing any adjustments to the class schedule when necessary.
• Generate and send monthly invoices to parents via the CRM system.
• Track and manage coaches' hours, ensuring the accuracy and timely submission of timesheets.
• Facilitate the onboarding process for new staff members, ensuring they are properly integrated into the team.
• Oversee the general organisation of the office and ensure that all necessary supplies are stocked.

Qualifications:

• Proven experience in office management, administrative support, or similar roles (experience in educational or customer service settings is preferred).
• Strong organisational skills and the ability to multitask and prioritise effectively.
• Excellent communication skills, both written and verbal.
• Comfortable working on weekends, ensuring smooth operations.

Working Hours:

• Full-time role with a commitment to weekend shifts. Typical working hours are:

Position Summary / Project Description

As a PM within the Program Management Office (PMO), the resource will be responsible for initiating, managing, and reporting on Cluster related projects and programs.

Ensures the timely execution of key deliverables, such as project approvals, costings, and resource planning. Additionally, there is the need to monitor and report on delivery balance scorecard KPIs, including budget utilization, and address any areas of concern in collaboration with stakeholders.

The candidate must be a proactive and detail-oriented individual with proven experience in projects & programs management and have good interpersonal skills to work with the various business functions.

Role and Responsibilities

• Manage day-to-day activities in the Program Management Office for related Logistics projects.

• Closely organize, monitor and implement projects with teams to ensure speedy operational stabilization, risk mitigations, signoffs and ensure closure.
• Manage and operationalize demand management process and guidelines with rigor in governance & compliance for yearly workplan.
• Organize, and support key users’ trainings, workshops, planned of FAQs using GenAI, roadshows and events for materials/documentations.
• Support program/project IT audits with stakeholders and related secretariat duties.

Requirements / Qualifications

• Degree holder with 7-10 years of relevant working experience or Diploma holder in any discipline.
• Working knowledge of process flow design and analysis, documentation work products including manuals, SOPs, training aides and process documents.
• Programme management experience; preferably in managing programmes in a large-sized organization operating in a highly complex environment.
• Ability to think strategically; understand, interpret and apply policies as it applies to IT enablement; apply analytical and creative problem-solving skills.
• Well-developed communication, consultation, negotiation and advocacy skills and a proven ability to establish and cultivate relationships with a variety of key stakeholders.
• Proven ability to initiate, manage and report on program activities and identify issues affecting the performance outcomes of the project.

Job Description

The incumbent will provide administrative support to the Undergraduate Studies Section, Dean's Office, Faculty of Science. Duties and responsibilities include, but are not limited to the following -

1) Faculty Co-ordinator for timetabling

• Keep abreast of Science Faculty Curriculum Committee (SFCC)/Board of Undergraduate Studies (BUS)/University Committee on Educational Policy (UCEP)/Senate approved proposals to facilitate planning and scheduling of classes and examinations.
• Coordinate with departments for planning of following academic year's timetable in the Class and Examination Timetabling System (CMIS).
• Update class and examinations timetable changes as and when required.
• Work with departments to verify accuracy of data and resolve any issues for the purpose of Student Feedback Exercise.

2) Pre-examination preparation and during examination support

• Plan and coordinate examination activities for each Academic Year according to the timelines and deadlines stipulated by Registrar's Office.
• Coordinate system updates for examinations related information and ensure data is appropriately entered.
• Act as liaison between Registrar's Office and departments to ensure that all necessary information are disseminated and shared with all parties involved.
• See to the examinations logistical requirements as well as arrangements for students with special needs.

3) Post-examination activities

• Coordinate and work closely with departments to complete the necessary checks and comply with the examinations processing schedule stipulated by Registrar's Office.
• Perform the duties of Faculty's Board of Examiners Secretariat and ensure that decisions made are updated accurately and quickly in Edurec and followed through.
• Plan, conduct and prepare report for examinations audit.

4) Undergraduate Studies Section duties

• To be rostered for section duties such as taking notes of regular section meetings, replying to email enquiries from students, and counter duties.

5) Others

• Provide assistance at University/Faculty level events such as Open House, Freshmen Orientation Briefing, and Commencement.
• Any other duties as assigned by the Vice Dean.

Job Description

The incumbent will play a key role in working closely with the School’s stakeholders involved in undergraduate medical education, particularly senior leadership and key administrative partners of healthcare institutions, to ensure that funding for training medical students are accurately disbursed, payment disputes are resolved satisfactorily, and compile data for reporting purposes. The incumbent will also be responsible for the Division budget management, development of SOPs and guidelines, as well as participate in quality improvement projects.

1. Compute PECT funding for Clinical Postings/Teaching Activities and Clinical Exam Contributions for all Healthcare Institutions that are teaching our students.

• Prepare student day database with data from NUSMed Edu Curriculum Team,
• Collate lesson timetables from NUSMed departments on a posting rotation basis,
• Quarterly collation of info on local and overseas electives postings from Electives Team;
• Annual collation of tutors’ contribution to NUS clinical teaching activities (CTA) and clinical exams from various program/exam coordinators

2. Management of and Reporting on PECT Funding with an annual budget of $65m.

• Disbursement of PECT funding, annual accruals;
• Compute and project PECT funding for current year and planning years;
• Coordinate, process and track PECT payments

3. Manage PECT Funding and Providing guidance and communications on PECT matters

• Projection of PECT budget ;
• Plan PECT budget utilization; and collaboration with Dean's Office Finance and the Curriculum teams for efficient PECT funds management in tandem with Edu division strategy and workplan.
• Review Family Med’s budget proposals
• Establish clear communication channels and close working relationship with the various stakeholders e.g. HCIs, MOH, NUSMed departments and other divisions of Dean’s Office for improved efficiency and coordination.

4. Manage Education Division Budget.

5. Quality improvement project

Participate in the business process re-engineering project to establish an Education appointment and PECT payment app and dashboard. The app and dashboard is an ongoing joint project within the Dean’s Office Education Division in collaboration with other divisions of the Dean’s Office and partners from HCI Education Offices.

• Bachelor’s Degree in Business Management/Administration, Accountancy or related fields
• Candidates should ideally have at least 5 years of work experience in a finance or accounting role.

This position will be responsible to support CIOO IT Finance Management functions. You will be required to work closely with CIOO Institution Services and Cluster Finance teams and Group Finance teams, as well as various departments across Synapxe and cluster office.

Supports the GCIO and Institution IT Director office to ensure the smooth operations of the IT Finance Operations, adhering to the finance governance and compliance and ensuring accuracy and completeness of IT Financial records for audits and management reporting.
You’ll also be tasked to support the department in process improvement and cost containment initiatives, such as streamlining the IT billing process and tracking & monitoring of actual IT spending for management reporting.

Business Finance Operations:

IT Governance and Budgeting

· Plan, drive, facilitate and execute annual budgeting exercise for Cluster IT budget. This involves working with CIOO Programme Managers, IT Directors, Institution and Group Finance teams, Synapxe project managers and functional analysts, including high-level understanding of applications.

· Monitoring and managing Cluster IT portfolio budget, commitment, planned cash-flow expenditure, financial analysis, and IT Finance reporting requirements.

· Work collaboratively with various teams and act as a liaison between CIOO, NHG Finance teams, and Synapxe, supporting cluster CIOO activities.

· Advice, support and work with various teams to ensure compliance with IT governance, such as authorisation process.

Job Description

The incumbent will be supporting the programme management function in the new MSc in Strategic Analysis and Innovation (MSI) programme. This programme is helmed by NUS Business School (MSc Programmes Office).

The roles and responsibilities are as follows:

Overall Programme Management

• Ensure that the programme runs smoothly and effectively, keeping the needs of students in mind while maintaining the integrity of the programme and at the same time, aligning with the SOPs set for the rest of the MSc programmes
• Deliver service excellence in assisting students in the programme including all course-related matters, all aspects of experiential learning component, ad-hoc academic counselling and student wellness matters
• Keep data on student demand and feedback on courses to advise the Academic Directors (ADs) and MSc office for constant monitoring and review of programme offerings

Class Timetable Scheduling and Course Registration

• Coordinate, de-conflict and manage all course outlines and timetable matters related to the programme, so as to ensure standardisation and that the timelines are properly adhered to
• Communicate to the students on all matters related to their coursework in a timely manner, including preparation of user guides and conducting briefings to the students and course registration matters
• Prepare the important and necessary information to the instructors on class enrolment, student profile, teaching and assessment guidelines before the start of each semester

Student Record Management

• Monitor and track the students’ workload and progress, and respond promptly on all student matters including Leave of Absence applications, Academic counselling matters
• Coordinate the mid-term student feedback sessions. Consolidate the information gathered and monitor follow-up actions.

Faculty Matters

• Prepare the Letter of Engagement letters and process teaching payments for the instructors for each semester. Coordinate with the HR and Finance departments where necessary.
• Provide teaching support to faculty members, with resources from NUS offices and IT systems including Canvas (teaching platform), Integrated Marks Management System (IMMS), student and classroom management (CAS) matters

Exam Processing

• Track and monitor timely upload of marks by faculty members, ensuring zero discrepancy
• Compile marks and the Board of Examiners’ reports, and process students’ requests e.g. Special Consideration and appeals for results review

Student Feedback

• Prepare data for the Student Feedback System
• Compile the feedback reports for the MSc office and AD, and monitor follow-ups, if any.

Event Management and Liaison

• Work closely with the other units within the MSc office on office projects and events
• Any other duties as assigned by the AD/MSc Programme Director/Associate Director

Qualifications

• Bachelor degree from a reputable institution, with at least 5 years of relevant working experience in managing academic programmes within tertiary institutions
• High level of written and oral communication skills
• Experienced, confident and effective working in cross-cultural settings
• Meticulous with an eye for detail and keen appreciation of good documentation
