The Administration Operations Executive provides administrative support to the D&I team, ensuring efficient operations and contributing to the team's mission of advancing knowledge and fostering growth. The Administrative Executive will be responsible for coordinating logistics, managing schedules, and facilitating communication among team members. This includes organizing research activities, maintaining documentation, and assisting in the preparation of reports and presentations. Additionally, the role involves supporting training programs by managing registrations, scheduling sessions, and ensuring that training materials are prepared and distributed effectively.
Key Result Areas
Efficient and Effective Office Administration
- Training Centre Operations
- Oversee the coordination of training programs, including managing participant registrations, scheduling sessions, and ensuring that all training materials are prepared and ready for distribution.
- Process payments related to training centre operations, including instructor fees, venue rentals, and participant registrations, ensuring all transactions are accurately recorded and tracked.Assist in the development and maintenance of training resources and documentation, ensuring that they are up-to-date and accessible for both trainers and participants.
- Collect and analyze feedback from training sessions to support continuous improvement and ensure alignment with best practices.
Data Management and Reporting
Maintain organized databases for research and training activities, ensuring that all relevant data is accurately recorded and easily retrievable.
- Assist in the preparation and management of documentation, such as proposals, reports, and presentations, ensuring accuracy and adherence to organizational standards
- Support the D&I Team in tracking metrics related to research and training initiatives, helping to identify trends and inform strategic decision-making.
Upkeep and Maintenance of Office and Facilities
Ensure the upkeep and maintenance of facilities, including:
- Training Rooms: Maintain cleanliness and organization; ensure audio-visual equipment is functional.
- Offices: Keep workspaces tidy and manage office supplies for researchers.
- Common Areas: Maintain cleanliness and stock essential items
- Restrooms: Regularly check for cleanliness and adequate supplies.
- Training Equipment Storage: Organize and maintain storage areas for training materials and tools.
- Outdoor Spaces: Oversee cleanliness and safety of outdoor areas used for training
Develop Self and Others for Greater Impact
- Proactively seek learning/upskilling opportunities and set stretch goals to drive own professional development
- Remain up to date and compliant with all relevant legislation, organisational procedures, policies and professional codes of conduct in order to uphold standards of best practice.
Job Holder Requirements
- Good Diploma or Bachelor Degree
- At least 2 to 3 years of relevant working experience in general administrative support. Prior experiences in office management would be an advantage.
