Job Summary

As a Database Operations Executive, you will be responsible for managing, optimizing, and securing databases that support our marketing and operational initiatives. Your role will involve ensuring the accuracy, integrity, and availability of data for decision-making, reporting, and system functionality.

Key Responsibilities:

• Database Management: Oversee and manage database operations, ensuring optimal performance, reliability, and security.
• Data Integrity: Regularly monitor and maintain the integrity of data, ensuring that it is accurate and up-to-date for reporting and decision-making purposes.
• Database Optimization: Implement strategies for database optimization and tuning to ensure efficient processing and retrieval of information.
• Backup and Recovery: Ensure regular database backups and implement disaster recovery procedures to safeguard data.
• Data Analysis and Reporting: Support data extraction, transformation, and reporting tasks for internal teams, providing insights as needed.
• Collaboration with Teams: Work closely with IT, marketing, and operations teams to meet data needs and ensure database alignment with company goals.
• Troubleshooting: Troubleshoot database-related issues, performing maintenance and resolving problems as they arise.
• Documentation: Maintain accurate documentation of database systems, procedures, and configurations.

Requirements:

• Proven experience as a Database Operations Executive or in a similar role.
• Proficiency in CRM
• Experience with database backup and recovery procedures.
• Analytical mindset and problem-solving skills.
• Excellent communication and collaboration skills.
• Ability to work independently and handle multiple priorities in a fast-paced environment.

Manage cleaning services

• Coordinate with supervisor and client to ensure quality service delivery (compiling, analysing, development and review of operation plans to improve work procedures and quality service delivery)
• Ensure cleaning teams adhere to safety measures to during cleaning operation
• Assist in budget planning for cleaning operations
• Review daily cleaning job reports for submission to management
• Preparing periodic schedules and all other documentations and ensure all periodic schedules has been enforced and followed up accordingly.
• Covering of manpower if needed (requires you to do hands-on cleaning)
• Recruiting of manpower for projects
• Resolving all matters/ incidents on site

Manage inventory, equipment and maintenance schedule

• Stocktake and allocating of equipment and/or technologies and supplies to project sites
• Identify and recommend suitable equipment and/or technologies to improve cleaning operations
• Implement maintenance schedules for tools and equipment

Manage cleaning teams

• Facilitating in planning of work schedules, deployment of manpower, effective work processes and capability development of staff

Manage incidents

• Guide teams to respond to major incidents/emergencies and reporting it to the management

Job Requirement:

• Preferably with 2 years’ experience in related fields
• Possess class 3 driving license
• Team player, good problem-solving
• Excellent communication skills and customer oriented
• Ability to multi-tasks and work under tight time frames
• Organised, responsive and resourceful

Responsibilities:

• Responsible for a full spectrum of shipping operations and documentation in commodities trading;

• Handle shipment coordination with suppliers, buyers, ship-brokers, ship owners/agents, surveyors, insurance companies, etc., to ensure smooth loading and delivery;

• Handle full set of shipping documents including liaison with banks on letters of credit negotiations and collection documentation;

• Ensure coverage of marine cargo insurances & charterer’s liabilities for all shipments.

• Follow up on shipping claims and demurrages.

• Maintaining working relationships with the internal / external shipping departments of shippers, receivers and shipbrokers

• Any other duties and responsibilities that may be assigned from time to time

Requirements:

• Diploma holder / Degree holder (Fresh graduate will be considered)

• Minimum 1 – 3 years of relevant working experience, preferably from a commodity trading environment or bills department in a bank

• Familiar with dry bulk shipping, international trade and shipping operations

• Meticulous and independent in work

• Diligent and able to perform under pressure in a fast-paced working environment

• Proactive mindset

• Excellent written and verbal communication skills

• Able to travel overseas at short notice

• Proficiency in English (other languages would be an added advantage)

Key Responsibilities

Administrative Operations:

• Manage office operations, vendor coordination, and procurement processes.
• Handle vendor management systems such as Ariba and GeBIZ, ensuring efficient and compliant operations.
• Develop and implement policies and procedures for improved operational efficiency.

HR Operations:

• Oversee HR functions including recruitment, onboarding, payroll, employee relations, and compliance with Singapore labor laws.
• Create and manage employee-related documentation, including employment contracts, performance appraisals, and termination letters, ensuring compliance with local laws.
• Foster a positive work environment by leading and mentoring the HR and administrative teams.

Finance & Compliance:

• Prepare and manage income tax and GST documentation in compliance with Singapore’s regulatory framework.
• Ensure accurate and timely submission of statutory documents such as CPF contributions, IRAS filings, and MOM-related requirements.
• Provide support in financial audits and maintain accurate records for compliance.

Vendor Management:

• Manage vendor relationships through platforms like Ariba and GeBIZ.
• Ensure timely procurement, payment processing, and compliance with procurement policies.

Requirements

• Education: Master’s Degree in Management or a related discipline.
• Experience: 4–5 years of relevant experience in the construction sector in Singapore.
• Knowledge:Strong understanding of Singapore company laws, employment laws, and financial regulations.
  Experience in vendor management systems like Ariba and GeBIZ.
  Familiarity with income tax and GST documentation in Singapore.
  
• Skills:Excellent communication, organizational, and leadership skills.
  Proficiency in Microsoft Office Suite and HRIS systems.
  Ability to handle multiple priorities in a dynamic environment.
  

• Maintain cleanliness in assigned rooms.
• Locking all rooms at the end of the day
• Perform traffic duty at respective school gates as assigned
• Accompany contractors for maintenance or repair work of equipment and premise.
• Arrange desks and chairs for school events.
• Any other duties, include Saturday work, as and when required
