Personal Assistant to the Managing Director

• Filter emails, highlight urgent correspondence and print attachments.
• Verifying all company incoming emails and report to MD for instructions and endorsements
• Keep fuel surcharge and insurance security surcharge rates from different airlines updated
• Update and filling of department documents, overseas agent contact list, circulars and ocean /air freight rates, schedules from carriers and co-loaders
• Managing and ordering office suppliers and equipment
• Shipment status monitoring and permit submission
• Staff shift work roster planning
• Performs typing and general paperwork
• Sending adhoc airfreight rates emails to carriers as well as email on behalf of MD
• Liaising with office vendors to ensure fire extinguisher and printer in good working condition
• Update Known consignors list
• Liaise with Operations and Accounts on any issues that MD encounters
• Daily management of the Singapore office and all administrative issues.
• Provide administrative support such as meeting schedules, expense claims and all travel arrangements including visa applications.
• Responsible for the whole process of office relocation project such as vendor management and internal communications.
• Reviews of Contracts and rates
• Ensure that all vendors complies to agreed KPIs
• Maintains proper & neat filing system.
• Answering phonecalls
• Ensure signing of documents by Director

• Must have Class 3,Class 4 and Class 5 Driving License
• Delivering packages to customers in a timely manner.
• Picking up office purchases or other administrative needs.
• Utilizing navigation apps to find the most optimal route.
• Interacting with clients in professional conduct.
• Working at night and on weekends.
• Maintaining an organized travel schedule.
• Transporting clients from various locations
• Carrying out vehicle maintenance checks.
• Ensuring that vehicles have sufficient gas, fuel and are always ready for use.
• Arranging for vehicle repairs when necessary.
• Updating monthly mileage records.
• Driving a variety of vehicles, including motorbikes, cars, buses and trucks.

Job Objective/s

1. Confidential Personal Assistant to the CEO and COO/CTO.

2. Ensure smooth operational credence of the corporate-management directives and calendars.

Duties and Responsibilities

• Provide full-time P&C (Private & Confidential) Personal Assistant support to the (on-site) COO/CTO and in parallel, separately provide P&C Personal Assistant support to the (off-site) CEO.

• This includes maintenance of meeting agenda, and planning appointments, travels, visits, etc.

• Assist in corporate communications both internally (within Singapore office, within the DenseLight group companies), and to support corporate on external communications.

• Manage corporate events and provide adhoc administrative assistance to the Executive team

• Assist on any other HR, Office and business-operational tasks from time-to-time.

• Take dictation, meeting minutes and follow-up on matters arising

• Produce reports, presentations and briefs

• Assist CEO & COO/CTO to track/remind HODs of important tasks and deadlines

• Managing databases and filing systems to meet corporate office objectives

• Provide other administrative support to other teams in the Company as directed by the CEO or COO.

Qualification Guidelines

Minimum Education

• Diploma in business administration or Secretarial experience or relative field

Minimum Experience

• At least 5 year of proven experience as personal assistant, executive secretary or similar administrative role to corporate management

• Proficient in MS Office and “back-office” software (e.g. ERP)

• In depth knowledge of office management.
