Job Description
- Provide administrative support to the Managing Director.
- Responsible for calendar management, coordinating meetings and conference calls, including booking of meeting rooms and other logistics.
- Prepare travel itineraries and travel expenses requisition form for approval.
- Manage extensive travel planning, including VISA applications, booking of hotels and air tickets, and transport arrangements (including complex travel with multiple legs and cities).
- Filter queries, phone calls and invitations to MD by taking appropriate action or redirecting.
- Prepare travel and entertainment expenses claims and submit them in a timely manner, following up with finance as required.
- Establish proper record keeping and efficient filing system.
- Assist in personal matters when required.
- Handle ad hoc projects and tasks that may be assigned.
Requirements
- Diploma/Degree in Business Administration, Maritime or equivalent.
- Min. 2 years of secretarial experience supporting Senior Management.
- Proficiency in Microsoft 365, including Outlook, Word, Excel and PowerPoint.
- Meticulous and resourceful with the ability to work independently.
- Able to multi-task and possess initiative to work in a fast-paced environment, under pressure and tight deadlines.
- Strong sense of confidentiality.
- Able to start work in mid-Jan 2025.
