Responsibilities

• To provide full range of secretarial/administrative duties and personal assistance to the Principal of the Family Office
• Arrange/coordinate meeting appointments and business schedule.
• Perform office duties and general administrative support.
• Maintain a systematic filing system, records, and safekeeping of different kinds of documents.

Travel arrangements - plan n organize travel arrangements including flights, registering govt requirement for helper etc, kids n family , accommodation n local transport etc

Payroll & benefit’s administration- liaise w payroll app for workers , n make sure payroll is done correctly (around 20 workers) to make sure OT are submitted correctly n approved by Director or ops manager

Project management - oversee n manage projects

Keep track of important deadlines of all submission for business or personal matters

ALL other admin duties requried

Confidential- maintain strict confidentiality on all biz n personal matters pertaining to director n company / family

Key Responsibilities:

• Appointment Management:
  Schedule, coordinate, and confirm appointments and meetings with clients, stakeholders, and business partners. This includes making calls to set up and confirm appointments and ensuring all relevant parties are kept informed of changes or cancellations.
• Follow-up on Meetings:
  Track meetings and appointments, ensuring all action items are noted and followed up on in a timely manner. Provide reminders and updates to ensure deadlines and commitments are met.
• Calendar Management:
  Maintain and organize the executive’s calendar, prioritizing commitments and ensuring no scheduling conflicts. Provide regular updates on upcoming engagements.
• Communication Support:
  Handle calls, emails, and other communications, responding on behalf of the executive when appropriate and ensuring prompt replies to inquiries.
• Administrative Support:
  Assist with preparing documents, reports, and presentations as required. Maintain files, records, and databases in an organized manner.
• Travel Arrangements:
  Organize travel bookings, itineraries, and accommodation when necessary, ensuring all logistical details are confirmed and well-coordinated.
• Task and Time Management:
  Proactively manage the executive’s time by organizing tasks and providing reminders for important deadlines and priorities.
• Ad-hoc Duties:
  Perform any additional tasks or errands as needed to support the executive in both personal and professional capacities.

Key Requirements:

• Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
• Excellent organizational and time-management skills with the ability to handle multiple tasks and prioritize effectively.
• Strong interpersonal and communication skills, with a professional phone manner and the ability to follow up on appointments and meetings.
• Attention to detail and the ability to maintain confidentiality at all times.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software.
• Ability to work independently with minimal supervision and maintain flexibility in managing changing priorities.
• Previous experience in scheduling and managing calendars is highly desirable.
