Responsibilities:

• Full spectrum of secretarial support to Chairman & CEO.
• Provide support to the daily activities of the Chairman & CEO including emails and meeting arrangement.
• Prepare reports, documents and presentation materials to be used by Chairman & CEO including co-ordination.
• Arrange internal and external meetings
• Handle travel arrangements – flight reservation, hotel accommodation, visa applications etc.
• Attend to Chairman & CEO’s personal work.
• Any other duties as required by the Chairman & CEO

Requirements:

• Possess at least a Degree from local universities or reputable universities overseas
• Minimum 2 years of experience in similar capacity, preferably in Mining or Energy industry
• Possess excellent interpersonal and communications skills
• Able to speak fluently and write well in English and Mandarin - to communicate with Mandarin speaking associates and bosses
• Good initiative, well organized, meticulous and able to work independently.
• Proficient with MS Office, Adobe, online conferencing softwares e.g. VOOV, ZOOM, TEAM and etc.
• Willing to travel on short notice.
• Ability to thrive in a fast-paced environment.
• Availability to work as and when required by company.

Position Overview:
We are seeking an experienced and highly organized Personal Assistant to support a senior executive in the finance industry. The ideal candidate will serve as a trusted partner, providing comprehensive administrative and organizational support to enable the executive to focus on strategic priorities. This role requires exceptional discretion, proactive problem-solving skills, and the ability to thrive in a fast-paced, high-pressure environment.

Key Responsibilities:

1. Executive Support:Manage the executive’s complex calendar, including scheduling meetings, appointments, and travel arrangements.
   Prepare and organize materials for meetings, presentations, and reports.
   Act as the first point of contact for internal and external stakeholders.
   
2. Communication Management:Draft, review, and edit correspondence, emails, and other communications.
   Manage and prioritize incoming communication, ensuring timely responses.
   
3. Travel Coordination:Plan and arrange domestic and international travel, including visas, accommodation, and itineraries.
   Ensure travel plans align with business objectives and personal preferences.
   
4. Administrative Oversight:Maintain and organize confidential files, records, and documentation.
   Monitor and manage expense reports and budgets related to the executive’s activities.
   
5. Project Management:Assist in coordinating special projects and initiatives within the finance organization.
   Track progress on key tasks and ensure deadlines are met.
   
6. Personal Assistance:Handle personal tasks for the executive, such as managing appointments, errands, and personal schedule coordination.
   Ensure a seamless integration between professional and personal commitments.
   

Requirements:

1. Education and Experience:Bachelor’s degree or equivalent professional experience.
   Minimum 5+ years of experience as a Personal or Executive Assistant, preferably in the finance or corporate sector.
   
2. Skills and Competencies:Strong organizational and multitasking abilities with excellent attention to detail.
   Exceptional written and verbal communication skills in English (additional languages a plus).
   Proficiency in Microsoft Office Suite and other relevant software (e.g., scheduling and collaboration tools).
   Ability to handle sensitive information with absolute confidentiality and professionalism.
   
3. Personal Attributes:High level of adaptability and problem-solving skills.
   Proactive, self-motivated, and able to work independently under tight deadlines.
   Strong interpersonal skills with the ability to liaise effectively with diverse stakeholders.

Responsibilities:

• Provide chauffeuring services to family members
• Able to commit fully to Chairman timing
• Willing to work on weekends and public holidays (Whenever Chairman or family members needed)
• Conduct basic maintenance check on vehicle and ensure that the vehicle is well maintained
• Regular housekeeping on vehicle to ensure cleanliness
• Perform any ad-hoc duties as assigned

Requirements:

• Possess valid class 3 driving licence with clean driving records
• At least 3 to 5 year(s) of working experience in the related field is required
• Responsible, punctual and reliable
• Must be willing to travel to east side in the morning to collect the vehicle (Toyota Alphard).
• Familiar with Singapore roads and landmarks
• Able to communicate in Mandarin
