Job summary

• Position Title: Personal Assistant
• Working Location: Tampines
• Working Hours: 5 days, Mon – Fri (9am – 6pm)(1 hour lunch break)
• Duration: Permanent

Duties includes:

Requirements:

Knowledge of English and Mandarin dialect is essential

Able to communicate effectively

Duties and Responsibilities :

• Assist in designing of course outline and develop course curriculum for functional training program
• Conduct post course evaluation
• Conduct assessment to evaluate the competency of the participants
• Conduct training and facilitate active learning
• Conduct briefings to operational staff when required
• Communicate with airline on training requirements and ensure all resources are prepared prior to commencement of training
• Provide guidance and supervisory support to operational staff during cutover/migration of every new airline
• Ensure all training records are entered correctly into SAP system
• Assist in audit preparation
• Ensure compliance with all workplace safety, security, and health policies and procedure

Requirements

• Minimum GCE "N" levels and above
• Minimum 2 years’ relevant industry experience, with a demonstrable sound knowledge of airport and logistics operations
• Knowledge of Departure Control System (DCS) would be a distinct advantage
• Ability to confidently present curriculum and lead group discussion in classroom
• No experience can apply. Training provided

Area of responsibilities

1) Provide full support in discreet of personal and secretarial to Director.

2) Ensure highest confidential level when dealing with all matters, safekeeping documents and filings.

3) Answer phone calls and emails and take messages.

4) Manage and schedule meetings and appointments (send out calender invites).

5) Provider reminders of important task and deadlines.

6) Take minutes of meeting and follow up action if required.

7) Arrange travel arrangements, including flights, accommodation and itineraries.

8) Prepare proposal based on director's guide.

9) Assist on paperwork and administrative tasks assigned by Director.

10) Coordinate company’s events such as planning activities, meal arrangements, etc.

11) Provide support on all HR matters & activities, when required.

12) Run errands as requested, when required.

13) Provide assistance for personal errands and tasks assigned.

14) Any other area of responsibilities that the company deems necessary.

Competency requirements

1) Minimum requirement of Diploma.

2) Organizational and time management skills.

3) Proficiency in MS Office (Word, Excel, PowerPoint).

4) Ability to multitask and work efficiently.

5) Able to speak and type in Chinese to assist in preparing proposal for Chinese customers.

Working Hours
Monday - Friday : 8 30am - 5 45pm (1 Hour Break)
Saturday: 8 30am - 2 30pm (1 Saturday Shift Every 4 Weeks)

About the role:

Develop Training

• Design, development, presentation and maintenance of training course syllabi or modules in consultation with Global Technical Training Manager, Principal Survey Trainer and others as required to satisfy the Service Line and/or Fugro entity and/or project specific and Survey training portfolio requirements.
• Design, development, presentation and maintenance of training course content and material, exercises, and assessments to meet objectives and syllabus of the Survey training portfolio.
• Design and development of e-learning/distance learning material with support and assistance from the E-learning Development team, for self-tuition by Fugro staff and others.

Deliver Training

• Delivery of face-to-face training courses, in person or online training courses via virtual means.
• Design and development of e-learning/distance learning material with support and assistance from the E-learning Development team, for self-tuition by Fugro staff and others.

Maintain training material and facility

• Keeping up-to-date with changing and evolving survey technologies, equipment and software within Fugro and externally and identifying new requirements, techniques or tools which can effectively support training initiatives.
• Preparation and maintenance of the Training Area (including facilities, resources, hydrographic and other equipment).
• Implement and maintain relevant course or facility accreditation requirements.

Safety

• Assisting in the safe operation of the training facilities.
• Preparation and maintenance of the Training Area (including facilities, resources, hydrographic and other equipment).
• Ensuring that all activities are carried out with the highest regard to the health and safety of all involved and to the protection of the environment and prevention of pollution.

Quality

• Ensuring that all work is undertaken to the highest quality and professionalism in accordance with the company Integrated Management System and project specific documentation.
• Regularly reviewing work processes to ensure that best practice has been adopted, and assisting with development and updating of operational, QHSE and site documentation as required.

Self/personal Development

• Undertaking own continuing professional development in discussion and agreement with the Global Technical Training Manager.
• Identifying personal training needs, bringing them to the attention of the Global Technical Training Manager and taking full advantage of the training opportunities provided.

Requirements:

Education: Bachelors degree in Surveying/Geomatics or Cat A/B Hydrographic qualification

Technical experience: Offshore survey operations experience

Management experience: Supervisor Level
