General Administration

• Provide support for all answering of calls
• Update pest control services report (weekly) and mosquito breeding report (monthly)
• Order stationeries and pantry supplies and gifts (for occasions)
• In charge of the maintenance of the copier machines and order toners when required
• Maintain record of Company Vehicles and apply Shell card for new vehicles, vehicles auditing
• Apply for PUB for water and electricity supply for office, town council and public toilets and accommodation of foreign workers and season parking for lorries
• Any adhoc duties as assigned

Recruitment

• Support recruitments for Operations teams with recruitment. administrative, organizational and logistical tasks.
• Serving as the logistical point of contact for both internal and external candidates at the written offer stage, including interacting directly with the candidates and ensuring signed paperwork is received in a timely manner.
• Managing various aspects of the candidate experience post offer acceptance, including ensuring accurate start dates and compliance of onboarding paperwork.
• Maintain accurate record keeping and consistent storage of new hire candidate records.
• Completing daily, weekly, monthly and quarterly reports as required.
• Conduct new employees’ orientation, exit interviews, referral programs.
• Updating of handbooks, orientations programs and documents templates when required.
• Any other ad-hoc tasks that are assigned.

Job Responsibilities

· To structure a system of handling and organizing enquiries that comes into the company and assist the sales people to work on project costings.

· To collect sales personnel’s enquiry and disseminate to suppliers for quotations.

· Source for suppliers’ quotations, price comparisons

· To work with suppliers to negotiate prices and contract terms and draft purchase contracts to suppliers.

· To work with the logistics team to get shipping and logistics pricing.

· To work with the logistic team to monitor the performance of suppliers during the production and supply phase.

· To monitor the trend of product prices and forex rates and report to management.

· To collect historical data of purchases for market research.

· Handle call and email enquiries.

· Perform any other administrative/accounting duties as assigned.

Requirement

· Min. 2 years relevant work experience, Purchasing or Business preferably;

· Proficient in microsoft office and good with numbers.

· Fluent in Chinese and English languages, both written and spoken. Comfortable dealing with people.

· Ability to identify, analyze, and suggest solutions for problems, customer complaints, and client concerns

· Good organization skills and the ability to multitask on several projects simultaneously.

· Responsible and mature with high level of literacy competence

· Possess good inter-personal, analytical and communication skills

· A good team player with positive work attitude, strong initiative and resilience

· Detail-oriented, meticulous, and able to multi-task and meet tight deadlines

· Able to work independently and prioritise work with minimum supervision

Others

· 5 days work week, 9am-5pm

· AWS upon confirmation and pro-rated if service is less than a year

· Performance Bonus subjected to individual and company’s performance
