ROLE RESPONSIBILITIES

• Sort and handle high volume of supplier invoices
• Support all users for all Purchase Orders with E-Procurement System and meeting Finance month end closing deadlines
• Verify outlets Purchase Order details against supplier invoices
• Handle returns or credit notes for any discrepancy deliveries
• Update supplier products and prices in the system
• Negotiate prices with suppliers ensure the lower prices
• Coordinate administrative matters, halal documents, printing, and stationery orders
• Coordinate with users for document submission on time
• To undertake whatever related duties or tasks that may be assigned by the Superior from time to time

ROLE REQUIREMENTS

• Minimum GCE N, O level or relevant qualifications
• Minimum 2 years of purchasing/sourcing experience in F&B industry preferably
• Resourceful, meticulous and able to work in fast paced working environment
• Able to work independently and a good team player
• Able to start work immediately

What you will be doing:

• Assist the Procurement Manager in daily procurement activities, handling ad-hoc tasks as required.
• Develop comprehensive plans for acquiring equipment, services, and supplies, considering factors such as cost, quality, availability, and lead times.
• Review existing administrative procedures and systems, identifying opportunities to streamline and improve efficiency in procurement processes.
• Ensure all procurement activities comply with the organization's purchasing guidelines, procedures, and relevant industry regulations.
• Track costs and expenses related to procurement, contributing to the preparation of accurate budgets.
• Arrange timely and cost-effective shipments of stores and spares via air, sea, and road freight to both local and international ports.
• Conduct occasional inventory and storeroom inspections on ships to understand crew needs, maintain positive relationships, and address procurement-related issues.

What we are looking for:

• Minimally a Diploma in supply chain management, logistics, business administration, or a related field.
• Proven experience in procurement, ideally within the maritime or shipping industry.
• Understanding of shipping operations, procurement processes, and relevant regulations.

• Proficiency in MS Office Suite and procurement software.

Key Responsibilities:

1. Administrative Support:

• Assist in the preparation and issuance of purchase orders.
• Maintain accurate and up-to-date records of procurement transactions, including invoices, purchase orders, and contracts.

2. Supplier Communication:

• Communicate with suppliers to follow up on orders, delivery schedules, and resolve any issues.

• Update the procurement team on delivery status and inventory needs.

4. Data Entry & Reporting:

• Prepare basic procurement reports on order status, expenses, and vendor performance.

5. Cost Control & Inventory Management:

• Track inventory levels and ensure timely reordering of supplies.
• Assist in identifying cost-saving opportunities by comparing supplier quotes.

6. Compliance & Documentation:

• Ensure all documentation is accurate and compliant with company policies.
• Assist in maintaining records for audit purposes and ensure compliance with procurement regulations.

7. Support to Procurement Team:

• Provide general administrative support to the Procurement Executive and team.

Qualification & Experience

• Diploma or equivalent Min 1-2 years’ experience.
• Able to work effectively with peers and other function teams.
