Job Duties & Responsibilities:

1. Issuing, sending of PO via email and keep track of PO for procurement activities.

2. Liaising with store to monitor stock inventories required by Operations Unit is in place to avoid any potential material shortage

3. Liaising with open lines of communication and collaboration, manufacturing teams can ensure plant requirements are met efficiently and production runs smoothly.

4. Maintain an updated list of current and incoming inventory

5. Liaising/correspondence with suppliers to schedule deliveries or to discuss shortages or missed deliveries

6. Continuously sourcing of parts/materials as and when required

7. Performing Goods received and updating of system

8. Maintain records of purchases, pricing, and other necessary data

9. Co-ordinating with forwarder for preparing of documents/permit for incoming shipment clearance

10. Continuously liaising with Sales and other departments for their new requirement of material/parts

11. To negotiable and obtain best price quotes from suppliers based on various Purchase Requisition request within the company

12. Deals with defective goods damaged goods as and when required

13. Performing monthly stock take

14. Any other ad hoc jobs assigned

KEY JOB PURPOSE

You are required to ensure the smooth operation of his/her assigned process unit. Your primary responsibility will be to assist our research team in conducting experiments (including coating process) and providing technical support to advance the understanding and performance of the solar cell fabrication processes. You will work closely with researchers and process engineers to contribute to cutting-edge research in the field and help drive the development of next-generation photovoltaics.

Job Responsibilities:

• Sourcing for relevant and reliable suppliers.
• Liaison with suppliers for pricing, availability of stocks, delivery date and other inquiries.
• Request quotations from suppliers and to negotiate pricing, timeliness and payment terms.
• Ensure a good selection of supplies and suppliers.
• To constantly evaluate supplier performance.
• Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
• Manage good relationships with key suppliers to maintain quality of goods, timely delivery and compliance to terms of contracts.
• Review material plan and work with project managers, QS and suppliers to support site team.
• Ensure proper purchasing procedures are in place to facilitate efficient ordering and delivery.
• Raise and create purchase requisitions for procurement of goods and services.
• Create Purchase Orders (PO), track PO closure and review open POs.
• Oversee prompt issuance of POs to suppliers.
• Maintain records of goods received and ordered.
• Documentation of supplier information, shipment to site matters, update the resource database and compilation of Purchase Orders, Delivery Orders and Tax Invoices.
• Monitor and prepare purchasing related reports.
• Review supplies received by doing quality check assurances to ensure no defects.
• Ensure that purchasing process is effectively implemented and maintained.
• Maintain and ensure proper filing of purchasing documents.
• Maintain inventory/stock levels.
• Monitor goods in and goods out of inventory.
• Handle all other purchasing administrative works.

Job Requirements

• Candidate must possess at least a Secondary School/Professional Certificate/NITEC, Diploma, Advanced/Higher/Graduate Diploma/Degree, any field.
• At least 1 year(s) of working experience in the related field is required for this position.
• Preferably Junior Executives specializing in Purchasing/Inventory/Material /Administrative Support or equivalent.
• Good communication skills and able to communicate with suppliers and internal department well.
• Excellent negotiation skills for best material/equipment/service pricing and payment terms from suppliers.
• Be driven, responsible, organized, independent and able to handle stress well.
• Able to learn fast, think fast and multi task.

Responsibilities:

· Procurement administrative work

· Enter POs into system

· Update procurement tracking records timely

· Follow up for Order Acknowledgement

· Follow up on POs issued for delivery status

· Liaise with Logistics for any delivery/ collection arrangements

· Check that goods delivered are the correct parts and quantity, and thereafter update delivery records

· Timely match DOs with POs and Invoices and process to Finance for payment filing of POs and related documents

· Assist to source for items/products

· Any ad-hoc duties as assigned by the reporting manager or higher

Requirements:

· Min GCE O Level/ ITE

· 1-2 years experience

· Proficiency in MS office applications.

· Strong analytical and problem-solving skills

· Effective communication and customer service skills.

· Technical/Engineering knowledge would be an advantage

· Able to converse in both English and Mandarin (with Chinese speaking suppliers)

· Highly organised and a team player

· Capability to multi-task, respond to change, and adapt accordingly

· Perform duties with accuracy and with strong degree of urgency

Roles and Responsibilities
