The Executive will be responsible for overseeing the operations of assigned departments and managing resources to ensure an efficient, personalized service in a pleasant and comfortable environment. Plan, implement and support the hospital’s daily operational functions, including special projects.

MAJOR DUTIES AND RESPONSIBILITIES

(A) SPECIFIC

1. Work closely and support assigned Clinical Departments in the development and operational management of new/ existing clinical services and patient-centric work processes across the care continuum.

2. Work closely and support the assigned Clinical Departments in business, financial, operational and manpower planning in achieving department and organisation targets. This would include, but not limited to, developing and carrying out business plan in conjunction with Clinical HOD to ensure goals are reached.

3. Work closely with Clinical HOD and Operation HOD to raise the profile and image of the department and its doctors.

4. Work closely with Clinical HOD on regular review of Clinical Department/ service line performance indicators (i.e. Balance Score Card, Financial Performance ) and ensure optimum utilization of resources.

5. Work closely with stakeholders on the purchase of medical equipment / equipment to support clinical services of the department.

6. Support in data management and analysis of performance indicators.

(B) GENERAL

JOB REQUIREMENTS

(A) EDUCATION, TRAINING AND EXPERIENCE

• Basic degree.
• 1-3 years in service industry/ health-care related areas. Fresh graduates or candidates with less experience may be considered for the position of Executive.
• Knowledge of hospital operations.
• Possess positive attitude, initiative and keenness to learn.
• Possess strong analytical, good interpersonal and communication skills.

(B) SPECIALISED TRAINING

• Knowledge of computer software.

RESPONSIBILITIES

• Manage the full set of accounts.
• Prepare and post AR invoicing, AP payment processes, and ensure accurate records in the system.
• Handle AR receipts and intercompany billing transactions, ensuring timely and accurate postings.
• Compute and post Fixed Assets Depreciation, maintaining up-to-date fixed asset schedules.
• Support the Finance Manager in preparing budgets and forecasts, aligned with the service's business and financial planning objectives.
• Perform month-end and year-end closing activities.
• Assist the Finance Manager in both internal and external audit processes, providing necessary documentation and clarifications as needed.
• Undertake other ad-hoc duties as assigned, contributing to the overall efficiency of the finance team.

• Minimum Diploma in Finance, Accounting, or a related field

• Proficient in MS Office applications, particularly Excel, with advanced knowledge of formulas and data analysis tools.

Key Responsibilities

Warehouse Operations

• Supervise and coordinate the daily activities of warehouse staff, including receiving, storing, and dispatching goods.
• Monitor warehouse performance metrics to ensure operational efficiency and accuracy.
• Develop and implement workflow processes to optimise storage space and streamline operations.

Inventory Management

• Maintain accurate inventory records using warehouse management systems (WMS).
• Conduct regular stock checks and audits to prevent discrepancies.
• Manage stock replenishment, ensuring adequate inventory levels are maintained.

Logistics Coordination

• Coordinate with logistics providers for inbound and outbound shipments.
• Prepare and verify shipping documentation, including delivery orders and invoices.
• Track shipments to ensure timely and accurate delivery.

Compliance and Safety

• Enforce adherence to workplace safety standards and ensure compliance with company policies.
• Conduct safety inspections and recommend improvements to minimise risks.
• Ensure proper handling, labelling, and storage of goods to prevent damage.
