• Sourcing and perform RFQ based on inputs from requestors. Issue PO to suppliers with correct price and delivery date.

• Collaborate with the team to identify and implement process improvements, and provide support in recommending updates to policies and procedures to enhance program effectiveness.
• Assess aging stock and develop an action plan in collaboration with the team.
• Maintain and control documentation related to ISO procedures, support and conduct internal audits to assess adherence to ISO procedures.
• Assist internal departments' requests on procurement matters (TDS, SDS, Raw material sample, COA issues).

prepare and verify the receipts and update in the system.

reconcile account receiveable transactions.

monitor accounts to ensure receipts are up to date.

research and resolve invoice discrepancies and issues.

maintain customer files.

reconcile customer collection with bank ledger.

correspond with customers and respond to inquities.

assist with month end closing.

provide supporting documenation for audits.

provide support to the team and in other ad hoc duties as assigned.

Job Summary:

The Admin Marketing Executive will be responsible for providing administrative support to ensure efficient sales and marketing operations. The ideal candidate will be a highly organized and proactive individual, capable of handling various tasks and assisting in the coordination of business operations.

Key Responsibilities:

1. Office Administration:
   • Answer phone calls, handle inquiries, and direct calls as necessary.
   • Prepare and maintain sales & marketing documents, files, and records (both physical and digital).
2. Communication and Correspondence:
   • Draft, format, and distribute internal and external communications, including emails and reports.
   • Coordinate communication between different departments and clients.
   • Manage the company’s correspondence, including responding to emails and letters in a timely manner.
3. Documentation and Reporting:
   • Maintain and update databases, spreadsheets, and records.
   • Prepare reports, presentations, and other business documents as requested.
   • Ensure proper filing systems are in place and regularly updated.
4. Compliance & Record Keeping:
   • Ensure that the company complies with relevant regulations by maintaining accurate records.
   • Support audits by organizing necessary documentation and reports.

Required Skills and Qualifications:

• Educational Qualifications: A diploma in business administration, or a related field is preferred.
• Experience: Prior experience in office administration, customer service, or related roles is an advantage.
• Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (printers, scanners, etc.).
• Communication Skills: Strong verbal and written communication skills, with the ability to interact with a variety of stakeholders.
• Organizational Skills: Ability to multitask and manage multiple responsibilities with attention to detail.
• Time Management: Excellent time management skills, with the ability to prioritize tasks effectively.
• Problem-Solving Skills: Strong ability to handle issues promptly and efficiently.
• Adaptability: Ability to adjust quickly to changing tasks and requirements.
