The Executive Assistant will perform a broad range of administrative and secretarial tasks to support the firm and the CEO. He/she plays a pivotal role in ensuring the smooth functioning of the firm and to help the CEO operate effectively and efficiently, by providing critical administrative, communication and organisational support.

Job Description – Duties and Responsibilities:

• Work directly with the CEO to support all aspects of his daily work routine.
• Maintain CEO’s calendar, including scheduling meetings, appointments, speaking engagements, business travel arrangements.
• Handle urgent requests and changes in relation to meetings with CEO.
• Serve as a liaison between CEO, management team, internal and external stakeholders.
• Determine priority of matters of attention for the CEO, redirect matters / emails to staff to handle, or handle matters personally, as appropriate.
• Keep the CEO advised of time-sensitive and high-priority issues, ensuring appropriate follow up.
• Handle document management (printing, binding, courier, copying and filing).
• Assist in composing replies for CEO’s review and approval as and when required.
• Schedule and organize departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
• Attend meetings and take minutes / notes of discussion.
• Other additional and / or alternative duties as assigned from time to time, including supporting other team members or executives as needed.
