Purpose of the job

The Regional Operations Manager:

1. Must ensure Operational integrity for his/her stations in the region by strictly complying with safety and security regulations, following procedures and regulations established in the operational and safety manuals in force.
2. Manages quality standards in the stations in order to ensure customer satisfaction, controls cost at lowest possible level and optimize aircraft (and if applicable: truck) capacity, contributing to customer satisfaction and maximization of load factor.
3. Is the representative of Operations in the Management Team of the market. He/she is responsible for maintaining constant communication, either directly or via Local Operations staff, with Sales and Distribution, Customer Service, Local Authorities and suppliers.
4. Is part of the roster planning and performs tasks related to flight operations for all stations in the region on a regular basis. In this capacity, he/she will be required to maintain close communication with both internal stakeholders (e.g. Sales, Customer Service) as well as with external stakeholders (e.g. GHA, authorities, suppliers).

Key Responsibilities

Management/Administration

• Structure and manage an adequate operations supervisory team for cargo Handling supervision and/or executing all or partial cargo operations activities of the Carrier(s) (Documentation, warehouse). • Monitor Supplier, staff and equipment to achieve all quality targets and to execute all working procedures required on a per-shipment and flight level.
• Take local actions to correct any deviations or discrepancies and report to AODs and Market Manager.
• Guarantee all tracking/tracing (local) monitoring requests are actioned and ensure accurate and timely response.
• Perform regular review meeting with suppliers for analyzing and taking actions against deviations and discrepancies.

Cargo Handling

• Export and Transit: Guarantee build-up plan instructions for all flights related to his station(s) / his market, based on the final booking list, which will comply with all legal and procedural regulations.

Elements of the above are:

• Loading instructions for special loads like heavy and big shipments.
• Ensuring clear loading and buildup instructions.
• Ensure check on export manifest and manage disruptions (i.e. offloads) when needed.
• Control and enforce adherence to the AFLS processes i.e. Queue treatment & creation; flight planning; reassigment of shipments when applicable.

Import:

• Organize arrival manifest’s review for irregularities prior to flight arrival, problems’ anticipation and instruction of third party on necessary actions to alleviate or minimize consequences.
• Organize future flights’ preview for potential conflicts, especially for cargo planned from another station.

Flight planning:

• Ensure Flightplan creation
• Coordinate and optimize flight capacity vs. cargo demand.
• Organize and control last minute changes to optimize flight capacity.

Trucking:

• Organize and steer local trucking operations in case applicable.

Communication

• Messages with regard to individual shipments, flights and other events must be sent correctly, on time and according to pre-defined procedures to relevant and specified parties.

ULD and Stock Control

• Guarentee available equipment and consumables used for handling.

Elements are:

• Guarantee equipment is monitored by third-party staff, recognize training needs and organize locally
• Ensure ULD stock information is communicated timely and correctly
• Ensure station stock is managed effectively at lowest possible cost

Finance and Accounting

• Correct and on time handling of invoices in compliance with accounting procedures.
• Ensure GHA performs correct other charges collection procedures.
• Guarantee and/or perform the execution of the initial audit on all invoices for services performed at the station included but not limited to the handling invoice, equipment leases, maintenance, and consumables such as plastic, wood, etc.

Role Specifics

South East Asia

Within this role the Regional OPS Manager will be responsible for the Operational Compliance and Quality of all stations within this market. On the station where the Regional OPS Manager is located (SIN) the direct day to day responsibility of the compliance and quality is under the responsibility of the Regional OPS Manager.

Qualifications & Requirements:

• Degree or Diploma in the field of Social Sciences (i.e. Social Work/ Gerontology) preferred
• At least 2 years of experience in direct operational roles such as running a social service-related Centre (preferably in the area of Eldercare)
• Prior supervisory experience, with at least 2 staff reporting to him/ her
• Strong stakeholder management skills, able to develop and build relationship with wide variety of community partners
• Knowledge in financial management – adherence to allocated budget and ensure cost-effectiveness
• Strong administrative skills – good documentation and report writing
• Proficient in Microsoft (Word, Excel and Powerpoint)
• Enjoy working with seniors
• Good problem-solving skills
• Strong interpersonal skills, a team player, yet able to work independently.
• Strong communications skills, preferably bilingual.

Responsibilities:

• Responsible for full set of accounts including management of financial records, general ledger maintenance, AP and AR.
• Prepare and analyse accurate monthly financial reports, including balance sheets, income statements, and cash flow statements.
• Conduct credit assessments and evaluations for new and existing clients, ensuring compliance with credit policies and risk management guidelines.
• Actively monitor and manage overdue accounts, implementing effective credit control strategies to minimize risk and maintain client relationships.
• Be involved in Debt Recovery for overdue client accounts and liaising with internal departments to resolve outstanding invoices and payment discrepancies.
• Ensure compliance with local financial regulations and tax requirements, preparing and submitting necessary documentation.
• Responsible for the budget planning, and supports the executive management team by offering insights and financial advice
• General management of the team in terms of monitoring and access eligibility of disbursement and internal claims.

Requirements:

• Degree Holder, those with CPA certification would be treated as priority.
• Experience in budget planning and final account management
• Strong understanding of financial regulations, tax requirements, and credit policies.
• Team management skills is essential in this role.

Key Responsibilities

Supervises employees involved in a variety of production and/or operation functions such as assembly, inspection, test, and/or final test which is related to the manufacturing of the company's capital equipment and systems, electronic, mechanical, electro-mechanical, and/or components, subassemblies and subsystems.

Prioritizes production schedules based on available manpower, equipment efficiency, capacity and materials requirements.

Participates in operational meetings. Supports the development and tracking of organization performance metrics. Schedules and conducts milestone meetings. Responsible for meeting or improving cycle time performance and other metrics.

Ensures timely response to operations issues impacting customer satisfaction; acts as an interface in the establishment of and ensuring conformance to customer/vendor requirements; prepares detailed analysis of cost of quality opportunity and initiates corrective action.

Oversees the prevention of employee accidents and injuries. Responsible for ensuring and documenting that all department employees (including temporaries) receive and follow appropriate department training including Environmental, Health and Safety training. Implements, emphasizes importance of, and monitors compliance to appropriate safety policies and procedures.

Develops personnel to include training and career development; manages the performance management process to include the development of team and individual goals, implementing employee development plans, and coaching. Manages the employee selection, hiring, reward and discipline processes.

Support the analysis of and plans for maximum production capacity optimization; implements and monitors manufacturing or dept. processes that collect, analyze and report key measurement data and real time status.

Identifies process and quality changes designed to improve manufacturing or department capabilities. Drives Lean, Safety and Quality. Takes corrective action.

Other Requirements: This position may require standing for extended periods of time, walking, working in tight spaces, bending, squatting, twisting, kneeling, reaching, lifting, the ability to distinguish between colors, the ability to work in an environment with noise that may be difficult for some individuals with sensitivity to noise, and the use of hand and power tools.

Additionally, because this position also may involve working in a clean room, the use of appropriate Personal Protective Equipment such as coveralls, hoods, booties, safety glasses, gloves, respirators, chemical aprons, and face shields may be required.
