We are looking for a Procurement Specialist to support product and service procurement for various departments within the company. The ideal candidate will manage the full procurement process, including sourcing bids, vendor selection, contract negotiation, and ensuring vendor performance. The role requires strong analytical skills, attention to detail, and excellent communication abilities to collaborate with both internal teams and external vendors.
RESPONSIBILITIES:
1.Procurement Support:
- Support the product and service procurement needs of multiple departments by soliciting competitive bids in accordance with the company’s standard procurement policies and procedures.
- Conduct thorough evaluations of bids, ensuring compliance with technical and commercial specifications.
2.Requisition Confirmation & Coordination:
- Check requisitions from various departments, addressing any discrepancies or incomplete information regarding specifications, quality, quantity, or delivery requirements.
- Communicate with internal stakeholders to clarify requirements and ensure accurate procurement specifications.
3.Bid Evaluation & Vendor Clarification:
- Organize and facilitate technical and commercial clarification meetings with vendors when necessary to ensure that all specifications and requirements are understood and addressed.
- Evaluate the vendor quotations to support the vendor shortlisting and selection process.
4.Cost Optimization & Recommendations:
- Recommend alternatives or substitutions where cost savings or improved delivery timelines can be achieved without compromising on quality or specifications.
- Ensure that procurement decisions align with departmental needs while optimizing cost efficiency.
5.Purchase Contracts Review & Management:
- Check purchase contracts that clearly outline agreed specifications, terms, and conditions to ensure both the company and vendors are aligned.
- Monitor and manage purchase contracts to ensure that vendors meet their obligations regarding delivery, quality, and timelines.
6.Additional Responsibilities:
- Assist with any other procurement-related tasks as assigned to support smooth operations and meet company objectives.
REQUIREMENTS:
- A recognized university degree in Business, Supply Chain Management, Procurement, or a related field.
- Minimum of 3 years of procurement experience, with familiarity in tendering processes, bid evaluations, and contract negotiation.
- Strong interpersonal, communication, and negotiation skills to work effectively with both internal stakeholders and external vendors.
- Excellent time management skills with the ability to prioritize and handle multiple tasks efficiently.
- Proficiency in commercial bid evaluation and purchase contracts review.
- Strong written and spoken proficiency in English and Chinese (Mandarin) is essential to ensure effective communication with vendors, stakeholders, and Mandarin-speaking counterparts based in China who primarily communicate in their native language.
