Dulwich College (Singapore) is seeking a talented Events Manager. The post holder will play a vital role in planning, coordinating, and executing high-quality events and programmes at the College, and will ensure that all events align with the school's vision and values, meet safety and safeguarding standards, and foster community engagement. The Events Manager will collaborate closely with academic and business support staff to deliver seamless and impactful experiences for students, parents, and stakeholders.
Taking on a project leadership role, the Events Manager works on College-wide events with domain owners to manage and coordinate all aspects, from strategy to execution.
Detail oriented and insightful, the Events Manager should possess excellent communication and people management skills and should be able to rally team members to implement events within tight schedules and stipulated budgets. They must be confident at dealing with people at all levels of the organisation and must be able to multitask numerous projects at the same time and confidently manage multi-team meetings. Strong project management skills sets and an equally strong sense of initiative and ownership are the basic competencies required for this role.
Duties and responsibilities include:
Event Management, Strategy and Delivery
- Event management of Whole College events, from planning and outlining event execution, managing resources, budgets and timelines, development of detailed program content and creating comprehensive itineraries.
- Provide financial oversight for event budgets and prepare regular reports on expenditures and outcomes.
- Lead and liaise effectively with all stakeholders across the College (including the College Leadership Team, Heads of Department, colleagues, parents and students), to plan and execute internal and external College events across each academic year.
- Collaborate closely with the AV Manager to utilise the available space in the College effectively.
- Conduct surveys with event participants and other stakeholders as appropriate.
- Review and analyse events and produce appropriate data, usage reports and feedback to ensure continuous improvement.
- Communicate feedback and recommendations through appropriate channels.
- Build relationships and work closely with vendors such as the onsite caterer, ICT and AV teams, operations, security, and academic staff.
- Provide strategic oversight and guidance for the management of College facility rentals, ensuring efficient processes and profitable margins. Support the cultivation of vendor relationships to establish and maintain a strong portfolio of high-quality renters.
- Coordination and management of annual events calendar together with the Events and Projects Officer and the Executive Assistant to the Head of College.
Vendor Management
- Source, negotiate, and manage contracts with vendors, ensuring high-quality services and cost-effectiveness.
- Act as the primary liaison for all vendors, including caterers, AV technicians, decorators, and transportation providers.
- Oversee vendor performance and ensure compliance with contractual agreements and safeguarding standards.
Risk Assessment and Compliance
- Conduct comprehensive risk assessments for all events, including camps and off-site activities, ensuring alignment with health and safety regulations.
- Ensure all event activities comply with the school’s safeguarding policies and government regulations.
- Develop contingency plans to address potential challenges or emergencies during events.
Collaboration and Stakeholder Engagement
- Work with stakeholders to align events with the school’s branding and objectives.
- Partner with academic staff to design events that support student learning, engagement, and well-being.
- Provide guidance and advisory services as the school’s in-house events agency, ensuring adherence to best practices and established protocols.
Administrative Responsibilities
- Provide administrative support for the Events unit.
- Assume the role of Event Lead for designated events, taking full ownership of the planning and execution.
- Organize and manage events with responsibilities for all administrative and logistical tasks, including:Liaising with speakers and guests.
Arranging flights, accommodations, and transportation.
Coordinating with vendors and managing contracts.
Managing event budgets and ensuring financial accountability.
Conducting rehearsals and virtual test calls where required.
- Monitor the progress of event planning and execution to ensure all milestones are achieved.
- Ensure compliance with policies and regulations while meeting all administrative and operational requirements.
Holiday Camps Partnership
- Serve as the primary liaison between the Holiday Camp provider and Dulwich College (Singapore), overseeing the development of each camp programme, coordinating its promotion through internal channels, and acting as the key contact for the provider during the delivery of each camp.
The successful candidate will have:
- A Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field, or equivalent.
- A minimum of 3-5 years of experience in event planning and management, preferably in an educational or international organisation.
- Experience of negotiating vendor or supplier contracts and managing service provision.
- Experience of managing projects cross-departmentally.
- Experience working in an international environment would be desirable.
- Experience of coordinating with community groups in the organising of events.
- Strong leadership and project management skills with the ability to oversee multiple events simultaneously.
- Excellent organisational skills, and the ability to collaborate across the organisation at all levels.
- Strong communication skills and the ability to communicate effectively in English, both verbally and in writing.
- Outstanding customer service skills, and an attitude of ‘going the extra mile’ to meet customer needs and expectations.
- Ability to manage multiple tasks and work under pressure to meet agreed deadlines and goals.
- Ability to work autonomously with minimum supervision, managing own workload to ensure the highest standards of performance and customer service provision are achieved.
- Strong IT skills in using Microsoft Office.
- Flexible approach to work, and the ability to be agile in the requirements of planning and delivering events.
