Job Description: Permanent Part Time Receptionist/Basic Data Entry

Responsibilities:

• Have vast knowledge and experience in explaining the company's profile to clients.
• Prepares materials for weekly and monthly errands
• Name Cards | Loyalty Cards | Updating of Cards
• Generates official documents such as report, employment contract letter, payment invoices etc.
• Maintains proper filing of reports and documents for business usage and record
• Clients Intake Forms | A&V Forms | Other form required
• Manages phone calls and correspondence if any (WhatsApp, Email, Letter, etc.)
• Create and update records and databases of internal staffs as well as external suppliers and clients records on google sheet database
• Performs other general administrative duties such as documents filing, scanning and printing
• Performs other ad-hoc duties (Clinic opening/closing), cleanliness and hygiene of clinic
• Other duties instructed by supervisor

Requirements:

• Candidate must possess at least a Nitec/Higher Nitec/Diploma in any field
• For secondary school minimally of sec 4 (case by case) Training will be provided
• Proficient in Microsoft Office (such as MS word, MS Excel, MS PowerPoint,) etc.
• Prior admin assistant experience is preferred
• Good command in spoken and written English
• Good interpersonal and communication skills
• Strong attention to details and able to work independently within deadlines

Job Description:

• Managing of general enquiries received

• Be familiarised with floor plan to give clear and accurate information to customers, patrons, members of the public and corporate visitors

• Collection of materials/deliveries/gifts/donations

• Issuing of Security Access Card

• Assist corporate visitors to register using the vendor management system

• Assist HR in contest matters

• Franking of postal mail/packages

• Locking and unlocking of tender box before and after tendering period

• Any other ad-hoc duties

Requirements

• Minimum GCE ‘N’/’O’ level.

• Candidates with relevant receptionist/admin experience in an office-tower/mall-based environment will have an advantage.

• Excellent telephone etiquette and customer service skills.

• Demonstrate strong interpersonal skills and ability to work well with others in a team setting.

• Good problem-solving skills and well-organized.

• Proficient in Microsoft Office in particular Word and Excel.

We are currently seeking a dedicated and organized individual to join our team as an online receptionist specializing in our tutoring services.

(Experience in online reception and secretarial duties preferred)

Allows for remote work from Monday to Friday, 12:00 PM and 6:00 PM.

【Responsibilities】

* Tutor Recruitment:

- Conducting recruitment processes for home tutors.

- Managing and updating the Tutor Management Sheet

(Around 20 tutors are working for us)

* Demo Lesson Coordination:

- Setting up demo lessons for prospective tutors.

* Contractual Procedures:

- Sending contracts and providing an overview to selected home tutors.

- Archiving and managing home tutors' CVs and contracts.

* Lesson Arrangements:

- Coordinating and scheduling the lessons between tutors and students.

* Student Assignment:

- Assigning tutors to designated students based on compatibility and subject expertise.
