• Assist the F&B Operations Manager in casual labor & contract staff costings, daily revenue and cost reports

Job Description:

We are seeking a dynamic and motivated Assistant Sales Manager to join our team. The ideal candidate will have a strong background in sales, excellent communication skills, and a proven track record of achieving sales targets. The Assistant Sales Manager will play a crucial role in driving revenue growth and expanding our client base within the events and exhibitions industry.

ROLES & RESPONSIBILITIES:

• Identifying and pursuing new business opportunities aligned to Pico’s broad service capabilities in events, exhibitions, retail, experiential marketing, content, and technology.
• Lead pitches and proposal development. Includes working with the relevant team and producers to pull together the required Specialist Services to develop the proposal.
• Competent in leading client’s strategies and to identify client’s needs and to create strategies to meet those needs.
• Grow the business both locally and regionally through a strategic account management approach and look to continuously improve the planning and execution of activities planned by our clients.
• Key responsibility is to establish and maintain relationships with identified clients, both new and existing. Hosting of regular POV meetings with the client to share insights and extend the value creation will be expected of you.
• Forge relationships with new clients and strengthen those with existing clients through the implementation of communication plans, thus creating strong visibility to the strategic support that is provided.

REQUIREMENTS:

• Min Diploma with at least 3 years of relevant working experience.
• Ability to effectively engage with professionals from client side, as well as understand, navigates, and manages complex, hierarchical corporate clients.
• Exposure on different types of projects such as events, multi-media, online, interactive, direct marketing and social media, etc.
• Ability to effectively manage project teams assembled from different business units within a large corporate agency.

• Assist and report to Director of Finance in all areas relating to finance operation, project, financial reporting, management analysis, consolidation and all treasury related matters.
• Work with team members and stake holders to compile data /information for variance / trend analysis, conduct market research, and consolidate analysis to support decision making.
• Prepare/review materials, input, analysis, reports and presentations for senior management meetings, board meetings, parents’ townhall and other purposes.
• Assist in designing, communicating and implementing new finance / procurement templates and forms to promote the digitalization of internal process wherever required.
• Ensure smooth AP functions by overseeing the AP team to collate, verify and process payments and staff reimbursement within the internal timeframes.
• Streamline AR functions by participating in AR projects
• Supervise/ carry out the month end and year end closing process, review / prepare journal entries, bank reconciliation and monthly schedules.
• Prepare and update cash flow forecast, monitor cash positions and manage all bank and investment related matters
• FD placement/renewal, purchase / disposal of ST investments, repayments/drawdown/ rollover of bank loans, etc.
• Ensure compliance of budget control by preparing/reviewing/monitoring budget vs actual reports
• To be actively involved in the change process
• To be part of the project leadership in the assigned IT related projects for Finance/Procurement team

Requirements

• Bachelor/ Master’s Degree in Accounting, Finance or other equivalents, or professional degrees (e.g. ACCA)
• Hands-on experience in all areas of finance operation, GL, AR, AP, FA and treasury function for at least 5 years
• Good knowledge and hands-on experience of financial planning and analysis, budgeting, forecast, strategic planning and board reporting
• Full hands-on experience in handling both external and internal audit
• Being IT tech savvy in learning new systems and designing new templates using IT tools
• Good knowledge of Financial Reporting Standards of Singapore and Charity Accounting Standard
• Excellent knowledge and experience in designing internal controls, policies, and standard operating procedures is highly desired
• Prior Big 4 CPA firm experience and familiar with Charity Acts and other charity regulations in Singapore would be an added advantage
• Experience in leading a small team with 3-4 members

PURPOSE OF THE JOB

To manage a portfolio of clients together with junior team members to be an effective, efficient and profitable part of Ocorian including coaching and reviewing work of junior team members, taking responsibility to ensure adherence with Ocorian policy and procedures, smooth running of operation of the team under management and provide high quality service to Ocorian’s clients.

• To act as named Company Secretary of client entities

• Providing advisory to clients on corporate secretarial matters and ensuring clients receive prompt responses to requests and queries

• To ensure compliance with the Companies Act, ACRA Act: Anti Money Laundering AML / Combating the Financing of Terrorism CFT, KYC processes and any such relevant regulatory and statutory requirements

• Attending clients’ board/board committee meetings, general meetings etc and recording of such minutes of meetings

• Oversee preparation and coordination of the statutory books and documents including submissions of statutory forms/documents to ACRA, IRAS or such other statutory bodies/government agencies within stipulated deadlines.

• Maintain good client relationship with close client communication, in order to assess customer satisfaction for possible improvements and identify possible cross-sell and up-sell.

• Provide leadership and guidance to team members and ensure seamless service delivery to clients

• Ensure prompt and timely billing and monitoring of team members’ timesheet, WIP, efficiency and recoverability in view of achieving the financial objectives and work efficiency.

• Oversee credit control and prompt collection of debts within the portfolio and work closely with credit control/finance team on long outstanding and doubtful debts

• Work with peers and Associate Director to provide and organise training for junior team members

• Support the Associate Director in managing overall targets and proactively monitor actual performance against target

KNOWLEDGE, SKILLS AND EXPERIENCE

• Qualified ICSA graduate or equivalent

• At least 4 years of relevant working experience in corporate service providers or legal firms

• Good understanding of Singapore Companies Act, AML/CFT procedures and guidelines and other relevant regulations

• Strong interpersonal, communication, written and customer service skills
