Position Title: HR & Admin Executive

Work Location: 60 Albert Street, OG Albert Complex #14-06, Singapore 189969

Job Description

We are looking for a HR & Admin Executive to join our team. This position will be remote reporting to the HR & Admin General Manager based in Shanghai HQ in partnering and supporting her with the day-to-day HR and Admin operations related to the Singapore office as well as other regions office. He/She will foresee a rapid career growth with high job satisfaction and accomplishments.

Job Responsibilities:

HR Operation - (50%)

Handle the recruitment process (e.g., Job posting, coordinate for interviews, preparation of offer letters, new hirers onboarding registration, etc.)
Create, maintain and update employee’s file records and leave records in system
Responsible for all types of leave, payroll and salary administration
Responsible for all work-related passes (e.g., Application, renewals, cancellation etc.)
Submission of all government-related claims matters
Enrolment and Termination of Insurance through the insurance portal
Administer training related matters including coordination or enrolment of external courses, update & maintain training record etc. if any
Support in the implementation of HR policies, procedures, and guidelines
Provide support in all general administrative HR operations
Assist in other ad-hoc tasks or projects as assigned by the HR & Admin General Manager

Admin Operation - (50%)

Responsible for purchase & maintenance of office related equipment’s (e.g. office furniture, laptops, photocopier, desk phones and other consumables etc.)
In charge of stationery and office needs purchase (e.g. stationeries, printing of name cards, company logo or signage, letterheads etc.)
Updating and maintenance of office admin and assets inventory list
Responsible for office environment maintenance in keeping office clean and tidy
Processing of office admin related invoices into system to ensure prompt payment
Sourcing and liaison with vendors in provision of quotations for best quotes related to admin matters
Assist on other daily administrative activities and provide support to the team (e.g. renovation works, open mailbox, sort incoming mails etc.)

Job Requirements:

Diploma/Degree in HR/Business or equivalent
At least 4 years’ of working experience as a HR Generalist
Good knowledge and keep up to date to HR practices and MOM regulations
Hands-on, meticulous, high integrity, responsible and good team player
Willingness to learnt and able to work independently with good multitasking skills
Able to meet timelines and excellent organizational skills
Proficient in both English and Mandarin

Audio-Visual (AV) Duties

To carry out the work assigned by ICT Manager or HOD/SH ICT, act as the AVA Executive for the school and provide AV technical support for teaching and learning purposes as well as school events, including but not limited to setup of projection, sound system and control room operation.
To perform servicing for AV equipment and maintain usage and service records of such equipment and assist in the maintenance of all AV equipment.

Event Support Duties

To be the photographer and videographer to record footage and photos for school events.
To edit, archive and update photo montages and videos for school.
To setup AV equipment for school events.

Non-SSOE ICT Infrastructure Maintenance

Technical Support and Troubleshooting: Provide day-to-day support for non-SSOE ICT hardware and software issues across the school under the instructions of HOD/SH ICT and ICT Manager. This includes managing device setups, troubleshooting connectivity issues, and ensuring smooth functioning of all non SSOE ICT equipment.
Maintenance of ICT Resources: Oversee the inventory, maintenance, and timely updates of all non-SSOE ICT and AV equipment. This includes maintaining the security of school devices, ensuring software updates are applied, and managing equipment booking systems for staff and student use.

Qualification:

Good relevant technical knowledge in AVA, including but not limited to setup of sound system, projectors, and others.
Good relevant technical knowledge in videography, including but not limited to video filming, video editing and sound editing.
Good relevant technical knowledge in photography, including but not limited to photo taking, photo editing and basic graphic design.
Having a good proficiency in English.
A National Trade Certificate Grade II or equivalence in relevant discipline
Minimum 1 year of working experience, in ICT related area or school(s), and in AVA implementations.
Good track record in AVA and ICT support

A Conrad Service Guest Service Executive is responsible for making the guest’s experience over the phone as pleasant as possible, by extending a warm greeting, assisting the guests with any special request and respond to any queries in a timely manner. The Conrad Service Guest Service Executive is to supervise the activities of the Conrad Service Center and provide efficient communication across various departments, to ensure guests receive optimum service in accordance with the standards, policies and procedures of the Conrad Hotels and Resorts.

What will I be doing?

As a Conrad Service Guest Service Executive you are responsible to oversee the Conrad Service Team activities and ensuring the completion of daily tasks. To support the Conrad Service Center Manager in the absence to communicate any updated information from the various departments to deliver outstanding guest service through every phone call. Specifically, you will be responsible for performing the following tasks to the highest standards:

To ensure the highest standard of service is maintained showing a pleasant and courteous manner when handling calls, following the Forbes standards.
Answer all internal and external calls pertaining guest requests, hotel restaurants bookings, handle e-mails and guest communications, responding to all enquiries and special requests.
To handle any guest comments and to liaise with the Duty Manager when required.
Handle several calls at any given time.
Be knowledgeable of all hotel facilities, restaurant and bar menus and special promotions and be familiar with the different restaurant floor plans and capacity.
Ensure maximum guest recognition and accuracy using our guest history information.
Give adequate directions of the hotel from any locations.
Ensure streamline communication with the team and guests and achieve consistent results.
Follow through and constantly update the restaurant guest’s database to be efficient and consistent in relation to regulars and VIPs. This includes keeping track of Guest birthday, Anniversary to offer to make reservation, if the guest wishes to dine with us.
Ensure all communication are efficiently made in regards to enquiries, groups or daily reservations.
Practice Hilton Grooming standards including uniform dress code, cleanliness and personal hygiene.
To be fully conversant with the Hotel’s emergency system and to ensure the correct procedure is known and carried out at all time.
To ensure a high standard of telephone equipment is maintained at all times.
To ensure all messages are handled accurately and promptly.
To ensure all wake-up calls are correctly recorded and processed.
To ensure all Conrad Service Center TM are familiar with any daily events occurring in the hotel and in-house VIP’s.
To ensure full security of the Conrad Service Center is maintained at all times.
To ensure that a practical manual backup is available and trained in case of a ‘System Down’ status.
To have good knowledge of the procedure of handling Kipsu, SynergyMMS and OnQ PM.
To control the hotel’s telephone and mobile phone inventory.
