Job Scope:

Office Administration

• Administer procurement, reimbursement and financial activities of ICC Office
• Assist colleagues from InsPIRE and other units under InsPIRE in overseeing office related matters
• Serve as the secretary/note-taker for all ICC Meetings
• Assist with the planning and organisation of ICC-related meetings, workshops/seminars, activities
• Assist with the selection of ICC instructors for the Nanyang Excellence Awards for Teaching
• Assist with all other ICC-related administrative tasks

Course & Student Administration

• Oversee and manage inter-college/school/department collaboration and serve as the liaison between ICC Office and Colleges/Schools and Course Coordinators on matters relating to student enrolment, and the coordination of academic matters and activities
• Oversee and manage all ICC course-related matters, duties will include being a liaison to all course coordinators and instructors, submitting course outlines for approval, timetabling planning, course registration, setting up of course and assessment sites, organisation of the end-of semester quizzes, uploading and consolidation of course marks/grades, end-of-semester Board of Examiners meeting, administering and consolidating data from course surveys, handling of course-related enquiries, and handling of all course-related student matters
• Administer academic exercises such as student combination in classes (ensuring classes consist of a good mix of students from different programmes), change of classes, course exemptions and credit transfers

Faculty & HR Matters

• Work with colleges/schools and course coordinators on the assignment and allocation of full-time and adjunct instructors teaching ICC courses
• Work with HR and schools on the appointment of new adjunct instructors and reappointment of existing adjunct instructors
• Approve the the teaching reimbursement claims of adjunct instructors
• Prepare the necessary information needed and scheduling of ICC instructors for annual performance appraisal of ICC instructors and coordinate with HRBY and the reporting officers of ICC lecturers on appraisal meetings

Outreach

• Be the main point of contact and support to students and partners and schools on matters related to the ICC
• Conduct, coordinate and/or support activities to share and promote ICC’s mission and curriculum, including the compilation and production of relevant marketing materials and eDMs
• Assist in the planning and organisation of outreach activities including marketing collaterals (eg, door gifts)

Working Arrangement:

Location: Nanyang Avenue

Duration: 3 Years

Salary: $4500 - 6000

Working Hours: 8.30am - 5.45pm (mon – thurs) 8.30am - 5.15pm (Friday) + 1 day wfh

Job Requirements:

• Bachelor’s degree with at least 5 years of relevant working experience, preferably in an institute of higher learning and/or the education sector
• Prior experience in a relevant administrative/managerial role in an institute of higher learning will be advantageous
• Meticulous with good organisational skills and a keen eye for detail
• Strong analytical and problem-solving skills
• Excellent communication and interpersonal skills
• Good writing skills with the ability to prepare clear reports
• Proficient in handling data and numbers

Essential Duties and Responsibilities:

Quality Assurance:

• Lead the QA/RA team on the implementation and maintenance of QMS in accordance to ISO 13485:2016 requirements, and other applicable international standards/regulations.
• Identify gaps in QMS and make continuous improvements to ensure the effectiveness of QMS implementation and consistency with product and process requirements.
• Provide training to staff on QMS procedures and regulatory requirements.
• Oversee document control, ensuring that all quality documentation is accurate, up-to-date, and properly maintained.
• Plan and execute internal and external audit and risk management review accordingly.
• Participate and lead key investigations or issues to prevent recurrence. Responsible in ensuring product reliability through conducting of risk assessments.
• Evaluate and review product on time, implement and conduct investigations in order to formulate corrective actions. Regular reporting and following up to ensure timely closure of CAPA.
• Actively supporting product transfers and ensuring product qualifications and validations of software and processes are established.

Regulatory Affairs:

• Develop and execute regulatory strategies to obtain and maintain product approvals in multiple markets.
• Responsible in the preparation and submission of regulatory filings.
• Maintain regulatory compliance for all marketed products, including post-market surveillance and reporting.
• Monitor changes in regulatory requirements and communicate their impact to the organization.
• Liaise with regulatory authorities and notified bodies as necessary to ensure timely product approvals and renewals.
• Provide regulatory guidance to cross-functional teams, ensuring alignment with regulatory standards.
• Serve as Person Responsible for Regulatory Compliance (PRRC)

Work Experience Requirements:

• Minimum 5 years of relevant experience in QA/Tester for Application/software development in medical device industry.
• Qualified lead auditor or ISO 13485:2016 internal auditor, be familiar with ISO 14971:2019, and standards applicable to medical devices and software used for Medical Devices (IEC 62304, IEC 62366)
• Knowledge of applicable regulations for Medical Devices (e.g., 21 CFR 820, EU MDR 2017/745, US FDA 510K, HSA Health Products (Medical Device) Regulations, TGA)
• Hands-on experience in performance testing and functional testing for web application.
• Excellent communication skills to lead/guide the team.
• Strong QA background with experience in identifying details and accuracy in reviewing test plans, test cases and test reports.

Education Level Requirements:

· Bachelor’s Degree/Diploma in a relevant scientific or information technology discipline.

Role & Responsibilities

The Student Recruitment Operation manager manages the day to day operations of the international Students Recruitment department while providing oversight of Domestic and International Students Consultancy and services for client such likes schools, students and their parents. On an ongoing basis, the Student Recruitment Operation Manager assigns student services workloads, ensuring that services and operation in a proper manners. As needed, the Student Recruitment Operation Manager acts as Lead Operation Team and providing full-cycle student recruiting, consultancy and services.

• Maintain up to date knowledge of changes in relation to Singapore and international qualifications, education systems, institution credentials, credit precedents and regulatory requirements
• Assess applications from international and domestic applicants, generate Letters of Offer and issue and manage Student Contracts and relevant acceptance documents.
• Coordinate with the Marketing Manager with the Lead conversion process as appropriate.
• Liaise with education agents onshore and offshore and Country Offices in regard to applications, visas, applicant information and enrolments such as:
• ‐ Implement interaction via phone and email
• ‐ Manage or respond to enquiries or applications from agents or direct applicants
• ‐ Identify and allocate applicant enquiries to agents
• ‐ Provide information packs to applicants
• ‐ Facilitate resolution of issues raised by agents
• ‐ Undertake Academic verification and confirm entry levels with University Partner as necessary

• Update and maintain student records and contribute to alignment of systems/records with University partner
