Job Overview

The Supply Chain & Procurement Senior Executive is responsible for handling incoming and outgoing shipping and procurement, and overseeing efficient office and factory operations.

Key Responsibilities

• Procurement Management:Develop and implement procurement strategies to optimize sourcing and purchasing processes.
  Identify, evaluate, and negotiate with suppliers to secure the best terms and prices.
  Monitor supplier performance and manage relationships to ensure compliance with agreements.

Supply Chain Coordination:

• Oversee the supply chain operations, ensuring timely and accurate order fulfillment.
• Coordinate logistics for incoming and outgoing shipments, including scheduling and documentation.
• Collaborate with internal departments (e.g., production, sales, finance) to align supply chain activities with business objectives.

Operations & Compliance :

• Ensure Supply Chain policies and procedures are up-to-date and compliant with local regulations
• Oversee the maintenance of supply chain records

Shipment Coordination:

• Manage the logistics of incoming and outgoing shipments.
• Collaborate with suppliers and shipping companies to ensure timely deliveries.
• Track inventory levels to align staffing needs with shipment schedules.
• Analyze shipment data to identify trends and improve processes.
• Handle any shipment-related issues or discrepancies

Administration & Office Management :

• Oversee day-to-day administrative operations, including office and factory supplies purchases, and facility management
• Administer tasks relating to office and IT equipment, including notebooks and employee email accounts
• Manage relationships with external vendors, service and logistic providers, ensuring proper execution and maintenance of contracts and agreements
• Manage the office budget and ensure efficient use of resources
• Plan and organize company events, meetings, and other activities, ensuring smooth execution and coordination

Qualifications & Requirements

Professional Experience

• Minimum of 5 years of experience in procurement and shipping or a similar role.

Skills and Competencies

• Leadership: Strong leadership skills with the ability to inspire and motivate teams.
• Strategic Thinking: Ability to align Operational strategies with business goals.
• Communication: Excellent verbal and written communication skills with the ability to interact effectively at all levels.

Knowledge of Local Regulations

Overall Function

Reporting to the Head of Data Centre, the incumbent will primarily be involved in the day-to-day operations of the NETS Data Centre.

Key Responsibilities

• Perform day-to-day data centre/ computer operations (batch processing, printing reports, systems backup, tape management, server reboots, facilities and infrastructure checks in the data centre)
• Pro-actively monitor the data centre systems’ uptime and connectivity to ensure system availability to prevent any down time, and coordinate problem resolution with vendor or second level support groups.
• To log and submit problem management record and assign to appropriate party
• Ensure physical security procedures are followed strictly
• Performs escorting of personnel to and fro the Data Centres for both Kim Chuan & Bedok

Requirements

• Minimum Nitec/ Higher Nitec/ Diploma in Computer Science/ Information Technology or equivalent
• Able to perform 24-hours rotational shifts (3 shifts)
• Strong initiative and able to work independently
• Good knowledge with Windows server / UNIX / AIX
• Minimum 1-2 years of relevant working experience in a Data Centre environment

This role is mainly focused on HR end-to-end recruitment and onboarding aspects.

Job Responsibilities:

(80%) HR duties:

• Manage the end-to-end recruitment process, from job posting, conduct interview and collaborate with hiring managers to onboarding.
• Maintain and upkeep employee records in HR Management System and Personnel File.
• Responsible for monthly payroll.
• Responsible for statutory payment submission and claims - CPF, IR21, IR8A, NS claims, Government- Paid Leave, training grant etc. submission.
• Prepare all employment-related letters including employment contracts, confirmation letters, resignation acceptance letters, off-boarding procedures etc.
• Manage work passes renewal, applications, cancellation and levy waiver requests.
• Attend to employees’ queries on various HR related matters.
• Visa application.

(20%) Accounts duties:

• Monthly bank reconciliation to ensure book balance aligns with the bank statement.
• Assist in month-end closing and prepare balance sheet accounts.
• Issuance and receipt of Purchase Orders.
• Liaise with banks on payment and receipts matters.

Requirements:

• At least 1 year HR and recruitment experience. Experience with F&B hiring will be an added advantage.
• Able to communicate in Chinese to manage documentation in Chinese and communicate with HQ staff from China.

Job Description:

• Work hand in hand with sales team to plan delivery schedule for new product releases and restock requests in accordance to internal shipping guidelines
• Manage the import procedure for finished goods from country of origin to local warehouse
• Coordinate with local warehouse to arrange products for pick and pack
• Handle full range of export functions of Bushiroad’s products to different stakeholders across our network of distributors
• Ensure inventory accuracy for both local and overseas warehouses and conduct periodic cycle count and disposal
• Liaise with 3rd party logistics providers to obtain shipping quotes and compare costing for raw materials import shipment
• Work closely with Events Team to ship promotional materials timely and accurately
• Pick, pack and arrange courier shipments
• Drive continuous improvement for internal processes and optimize logistics costs
• Manage 3rd party logistics providers and assist with implementation of logistics processes, monitor their performances and ensure maintenance of their service level commitments and costs
• Verify 3rd party logistics providers’ billing invoices
• Prepare product availability report and send out to stakeholders fortnightly
• Support in internal and external audits

Requirements:

• Candidate must possess at least a Diploma in Logistics & Supply Chain Management or any relevant field of study
• Has at least 1-2 years of relevant work experience in a logistics customer service role or equivalent
• Has knowledge in import and export procedures in terms of Air & Sea freight
• Has knowledge in Incoterms 2020 and Harmonised Code classification
• Open to work in warehouse when required
• Open to work on some weekends/public holidays for Company events
