Job Scope:

• Support Teaching and Learning – Provides technical assistance to teachers (if required) during lessons on issues related to projectors or sound system in classrooms, lecture theatres, computer labs and seminar rooms.

• Supports school Events – Prepares, sets up, positions, connects and configures audio visual (AV) equipment for “live” audience and/or smiltaneous broadcast to staff and students across the school.

• Equipment fault diagnosis/maintenance – Maintains and troubleshoots faulty AV equipment.

• Preventive Maintenance - Performs routine preventive check on AV equipment.

• Asset Management – Perform routine inventory check of AV equipment in preparastion for internal and external audit checks.

• School facilities management – supports school in the managing of contractors in carrying out periodic facilities maintenance.

• Supports the school during school-wide events and examinations.

• Coaches FSV Society members in operating AV equipment.

Requirements:

• Nitec, or its equivalent, or higher, in audio and video specializations and with at least 1 year of experience in the similar field or professions.
• Basic working knowledge of Microsoft Office applications (Word, Excel, PowerPoint)

Contract Period: 1 Jan 2025 to 31 Dec 2025

Working Arrangement:

• Mondays to Thursdays: 7:30am to 5:00pm

• Fridays: 7.30am to 4:30 pm

• Service is not required on Saturdays, Sundays and gazetted public holidays

Roles & Responsibilities:

• Provide support to the superintendent in the planning, execution, and finalization of dry dock and repair projects, and attend the project site as required.
• Assist the superintendent with the preparation of the OPEX budget.
• Coordinate and arrange service engineers for boarding operations.
• Review, update, and prepare vessel shareholder presentations for timely submission.
• Maintain records of fleet service arrangements and End of Month (EOM) reports, including technical bulletins from manufacturers.
• Prepare and complete monthly post-meeting reports for Charterers/Fleet.
• Administer the disbursement account, ensuring line items and account codes are accurately detailed.
• Review Management Meeting minutes and provide a summary to the superintendent.
• Distribute monthly Class status reports to vessels, including details on expiring certificates.
• Assist with tasks related to EU ETS, EUMRV, and IMO DCS compliance.
• Support the review and processing of PAL occurrences as guided by the Fleet Manager, and help the superintendent close occurrences using Tableau data.
• Appoint Agents following the superintendent’s instructions.
• Handle any other required documentation and filing tasks as assigned by the team.
• Assist the superintendent with Guarantee claims management.
• Support both internal and external Survey and Audit Requirements.
• Monitor and report progress on the Teams’ “Management of Change” initiatives.
• Review and manage fleet weekly operational data and monthly KPIs, ensuring that the fleet team stays informed.
• Create and finalize presentations for Charterers/Owners as needed by the Fleet team.

Requirements:

• Bachelor’s Degree (preferably in ship management, maritime operations, or a related science discipline).
• Training in Secretarial skills.
• Excellent written and verbal communication abilities.

Role:

• Verify and validate deals against Gunvor’s ETRM System for accuracy and consistency.
• Ensure timely and accurate updates of deals in the ETRM system to reflect any changes.
• Prepare draft contracts for crude and/or products for traders and operators to review.
• Send out contracts upon approval.
• Upload contracts and all counters/amendments to the ETRM System.
• Update master templates as needed.
• Review and counter contracts from counterparties.
• Update contract Excel worksheets and Power BI reports.
• Prepare tender offers when required.
• Liaise with Finance, Legal, and Demurrage departments on contract wording issues.
• Review counterparties’ general terms and conditions.
• Perform other ad-hoc duties as assigned by the manager.

Requirements:

• Relevant internship experience for fresh graduates.
• Familiarity with incoterms.
• Polytechnic or diploma qualifications with relevant experience are also considered.
• Proficiency in Microsoft Office, especially MS Excel.
• Strong spoken and written skills in English and Mandarin (to liaise with Mandarin-speaking counterparts).
• Ability to work both independently and as part of a team.

Responsibilities:

• Offer assistance to the technical department
• Aid in the creation and upkeep of a repair database and the compilation of technical specifications
• Support the preparation of technical reports
• Assist in compiling and tracking technical Key Performance Indicators (KPIs) and deliverables
• Coordinate with vessels and various departments for the procurement of spares, stores, and contractor services
• Ensure accuracy and systematic maintenance of technical drawings, manuals, plans, reports, certificates, and documents within a database
• Participate in ad hoc projects as assigned

Requirements:

• Possess a diploma in marine engineering or a related field (preferably maritime or engineering majors)
