YOUR JOB SCOPE WILL BE:

1. Analyze customer feedback and identify areas for improvement
2. Conduct basic stocktaking and inventory checks, as well as data entry into the warehouse management system.
3. track and monitor key performance indicators (KPIs).
4. inventory management system to optimize stock levels and reduce waste.
5. Verify the number of pallets for each shipment to ensure that there are no discrepancies with the supporting documents.
6. Checking of all incoming and outgoing cargo to ensure no variances in cargo.
7. Assist with monthly stock takes, ensuring accurate inventory counts and reporting discrepancies to the relevant personnel.

Job Summary
The Logistics Assistant is responsible in a wide variety of logistics activities including shipping and receiving raw materials and/or finished goods and maintaining inventory and associated records.

Essential Duties and Responsibilities:

• Receiving of incoming shipment, checking, repacking and put away (binning to shelves)
• Ensuring inventory transactions are accurately logged in SAP.
• Handle daily logistics and shipping activities including: Filing and shipping customer orders, satisfying internal shipping requirements (Transporter, Forwarders, etc.), ensuring accuracy of shipments and supporting documentation, receiving incoming material and routing to appropriate area.
• Process of orders thru SAP transaction including pick & pack for shipment, issue to Service department, workshop and sub-con/fabricator.
• Handle filing of documents, e.g. Assembly orders, Production orders, Picking list, shipping documents.
• Carry out cycle counts activities as specify in the cycle count policy.
• Sorting of Picking Lists, Production/Assembly orders, Service orders for picking.
• Packing of returned seals from Service to put back to customer stock.
• Developing, documenting, and maintaining departmental work instructions for all tasks. E.g. SAP work flow process and procedure.
• Establishing or adjusting work procedures to meet logistics demands as dictated by production schedules and workflow.  
• Enforcing safety regulations at all times. Understand Risk assessment, safe work procedure and Tool box meeting topics.
• Continuously improve logistics operations and processes through the use of Continuous Improvement initiatives/practices. Example: 5 S, eliminate 7 wastes and visual management.
• Collaboration with other departments to coordinate activities e.g. Supplier issue, rush order request and quality issue.   
• Communicate matter to the Logistics manager in order to keep him/her updated.
• Address issue and use problem solving tools to resolve the problem.

• Analyze orders and prepare weekly production plan for production facility.
• Prepare and distribute shipment paperwork as required to production facility and freight forwarder.
• Interfaces with freight forwarders, carriers, brokers as well as internal field and administrative personnel on shipments to include shipment paperwork as well as status to ensure prompt movement of shipments.
• Communicate shipment paperwork, requirements and/or status directly to production and regional Customer Service.
• Monitor shipments via flight information and advise Customer Service of any shipment delays or issues.
• Communicate opportunities for new lanes of business to appropriate team members.
• Develop logistics channels and identify future expansion requirements proactively.
• Identify infrastructure resources necessary to increase support and sustainability of logistics in the China region.
• Responsible for reconciliation of shipments as required; to include documentation and correspondence.
• Supply order fulfillment; monitor and follow up with all China stock level and inventory.
• Maintain database on purchases, materials, suppliers and costing relating to China supplies.
• Assist in regular stock take requirements and re-ordering of inventory as required.
• Pack sales accessories as required.
• Works with internal teams with a high sense of accountability and urgency.
• Drives continuous improvement initiatives within Logistics Department
• Successfully meets all KPI’s given to the team
• Collaborates with other teams to drive resolution/shipment on open order reports
• Receive and maintain regional records and copies for sales orders.

Job Description

• Dashboard reporting on sales performance for product line and distributor/region sales through data collection and analysis

Job Requirements

• Candidate must possess at least a Degree in Business, Sales, Logistics & Supply Chain or any relevant field of study
• Has at least 3-5 years of relevant work experience in a sales or business development role or equivalent
• Has at least 3 years of experience in a leadership or management position
• Excellent communication, interpersonal, and leadership skills
• Possess leadership experience, with the ability to motivate and manage a diverse team
• Strong analytical skills to analyse market trends and identify new opportunities for growth
• Experience in managing budgets and forecasting sales targets
• Proficient in MS Office software
• Able to travel overseas for business trips when required
• Open to work in warehouse when required
• Open to work on some weekends/public holidays for Company events

Good to Have

• Possess a driving license class 3/3A
• Proficiency in Japanese language is advantageous due to communication with Japanese speaking associates or business partners (please indicate level of proficiency if applicable)
