Administration Manager job brief

We are looking for an experienced Administration Manager to supervise daily support operations of our company and plan the most efficient administrative procedures. You will lead a team of professionals to complete a range of administrative duties in different departments.

A great administration manager has excellent communication and organizational skills. The ideal candidate will be well-versed in departmental procedures and policies and will be able to actively discover new ways to do the job more efficiently.

The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.

Administration Manager Responsibilities

• Plan and coordinate administrative procedures and systems and devise ways to streamline processes

• Recruit and train personnel and allocate responsibilities and office space

• Assess staff performance and provide coaching and guidance to ensure maximum efficiency

• Ensure the smooth and adequate flow of information within the company to facilitate other business operations

• Manage schedules and deadlines

• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints

• Monitor costs and expenses to assist in budget preparation

• Oversee facilities services, maintenance activities and tradespersons (e.g electricians)

• Organize and supervise other office activities (recycling, renovations, event planning etc.)

• Ensure operations adhere to policies and regulations

• Keep abreast with all organizational changes and business developments

• Perform any other duties assigned by the director.

Administration Manager Requirements and skills

• Proven experience as administration manager

• In-depth understanding of office management procedures and departmental and legal policies

• Familiarity with financial and facilities management principles

• Proficient in MS Office

• An analytical mind with problem-solving skills

• Excellent organizational and multitasking abilities

• A team player with leadership skills

• BSc/BA in business administration or relative field

• The ability to work under pressure.

• Availability to work within opening hours (e.g. evenings, holidays, weekends).

Responsibilities

• Participate in the full project life cycle from requirements gathering to project implementation, maintenance and support.
• Be responsible for program design, coding, testing, and documentation.
• Develop secure, scalable, and good quality application programs and API within allocated man days.
• Perform data migration, data transformation, and scripting.
• Have a passion for delivering zero defect codes and be responsible for ensuring the codes meet the expected SLA.
• Participate in continuous integration activities and automation frameworks for testing and deployment.

The ideal candidate shall possess the following

• Diploma/Degree in Computer Science, IT or equivalent
• At least 1-2 years of project experience (3-6 years for Senior Position) in application development/maintenance/support.
• Good problem-solving & communication skills.
• Hands-on experience in transforming functional specifications into design specifications.• Faster learner.
• Good knowledge in C++, C#, ASP.NET, Python, Web services, SQL and IIS.
• Experience in MS Sharepoint will be a strong advantage (particularly in the areas of webpart development and maintenance, migration services, complex server farm design/deployment/maintenance etc.)

Job Description:

• Support Project Manager on site execution, coordinate project management activities, resources, equipment, and information.
• Monitor work progress, handle any issue that arise and ensure they can complete on schedule.
• Prepare daily site progress reports, schedule, co-ordinate and monitor the assigned projects.
• Attend kick-off meeting, site meeting, site walk and brief by clients, officers & etc.
• Ensure workers do proper housekeeping daily to maintains safe and clean working environment. And compile with onsite Workplace Safety and Health regulations.
• Ensure all the permit, machinery and materials needed on site is ready and machinery is in working condition before start work.
• Ad-hoc matters as assigned by the PM which is necessary for the execution of the project

Requirements:

• Minimum 3 years of working experience as supervisor/ Coordinator in construction ndustry / project site work
• Possess Certificate in building construction supervisor’s safety
• Preferably with Class 3 Driving licence.
• Good Interpersonal and Communication skills. Leadership, Problem-solving and multi-tasking skills
• Profound knowledge of construction safety regulations and workflow sequence till handover.
