Job Responsibilities:
As a Part-Time Administrative Assistant, you will be responsible for a variety of tasks aimed at supporting our day-to-day operations. The key responsibilities include:
- Payments Follow-Up: Monitor and follow up on payment transactions.
Ensure timely and accurate processing of invoices.
- Forms Management: Assist in the creation, distribution, and organization of various forms.
Ensure all necessary documentation is collected and maintained.
- Marketing Support (including social medias): Collaborate with the marketing team to assist in promotional activities.
Contribute to the development and execution of marketing initiatives. Assist in creating and distributing promotional materials. Manage social media accounts and update the company's website with relevant information.
- Client Follow-Up:Communicate with clients to address queries and concerns.
Maintain positive relationships with clients through regular follow-ups.
- Client Communication:Communicate with clients regarding scheduling, inquiries, and general information.
Respond to emails professionally and promptly.
- Registration and Enrollment:Assist in the registration process for sports programs or coaching sessions.
Manage enrollment paperwork and ensure all required forms are completed.
- Facility Management: Assist in managing facility bookings for training sessions.
- Event Coordination:Assist in planning and organizing sports events, competitions, or training camps.
Coordinate logistics and ensure all necessary preparations are made.
- Data Entry and Record Keeping:Maintain accurate records of client information, attendance, and performance.
Input data into relevant databases and systems.
- Communication Liaison:Act as a liaison between coaches, clients, and other staff members.
Distribute important information to relevant parties.
- Customer Service:Provide excellent customer service to clients and address any concerns or inquiries.
Ensure a positive experience for all clients interacting with the company.
- Research and Reporting:Conduct research on industry trends, competitors, and best practices.
Prepare reports and summaries for management as needed.
- Administrative Support:Provide general administrative support such as filing, photocopying, and organizing documents.
Assist with any other tasks as assigned by management.
Qualifications:
- Previous administrative or office experience preferred.
- Strong organizational and multitasking skills.
- Excellent communication skills.
- Proficient in Microsoft Office suite and basic understanding of website management.
Working Hours:
This is a part-time position, and the hours can be flexible based on mutual agreement.
Work Location:
This is a flexible Work From Home position. With face to face meetings with the Director from time to time.
