The Operations Executive plays a vital role in the daily trade operations of refined oil products, ensuring

seamless end-to-end order processing. This position involves facilitating the storage and deployment

of products to clients while effectively resolving any conflicts that may arise.

Possessing good teamwork and communication skills, he/she is able to work with other functional

teams across local and regional borders to facilitate the smooth operation of trade transactions.

He/she is organized and meticulous, enabling him/her to thrive in a dynamic workplace environment.

Key Responsibilities:

• Work closely with internal and external counterparties, assist with contract signing, submit applications for payment, invoicing, and other approvals through the internal system.
• Review and modify Letters of Credit (L/C) drafts, and ensure proper submission of related documents.
• Follow up closely with every step of related shipment, passing documents/information to related parties.
• Maintain business ledgers, update business data in company’s system and ensure its accuracy and relevance.
• Perform month-end reconciliation, following up on customer payments.
• Carry out and support other duties assigned by the Company.

Job Requirements:

• Bachelor’s Degree in International Trade, Finance, Business Management, or related field.
• Minimum of 2 years of experience in international physical trade operations, preferably in a commodities trading company.
• Strong understanding of international refined oil products shipments and related trading operations processes.
• Familiar with the import and export business and the international trade process.
• Familiarity with trade-related documentation (contracts, L/Cs, shipping, inspection, and insurance documents).
• Excellent numerical and analytical skills.
• Proven ability to work collaboratively and maintain trust and integrity within a team.
• Bilingual proficiency in English and Chinese is preferred to communicate with Mandarin-speaking colleagues

Responsibilities:

-Issue sales & purchase contracts after trades are done

-strong communication and coordination with traders in case of any discrepancies, missing information or inappropriate terms

-Vetting of master LC to ensure all terms are in order prior to pushing customers to open LC

- Arrange for LC opening in time prior to shipment

-Prepare custom documents required for custom clearance

-Prepare and present documents under sales LC

-preparation of document instruction for brokers, owners or suppliers.

-Provide timely update for vessel movement to suppliers and buyers

-calculation and submit claims for any demurrage incurred

-tracking of payment and settlement

• Maintain, manage and modify all software systems, tools, and applications.
• Identify the areas of improvement to reduce time to delivery avoiding manual errors.
• Support version upgrade for the products and amend the scripts/process as and when required.

• Design, implement, test, and deploy end-to-end software solutions in the T&O-MOT-LCS domain with the following key responsibilities
• Collaborate closely and communicate independently with project managers, business analysts, development leads, test engineers, infrastructure engineers, and business users.
• Participate in the analysis and requirements gathering phase and help to translate requirements into technical solutions that meet client needs and expectations
• Troubleshoot the application by debugging issues, fixing bugs, identifying bottlenecks, and offering third level support.
• Build, package and release software artifacts in an automated way to all environments including production
• Be responsible for the performance, stability, reliability, and security of the application

• At least 5-7 years of relevant SAP QM and PP, authorization experience in manufacturing environment (Chemical industry preferred) and SAP ECC 6.0 and/or S/4 HANA.
• Have strong integration working experience and knowledge of the key integration points between the other SAP modules.
• It is best to have SAP certification in the QM/PP module, along with foundational knowledge in SAP report development (ABAP) and form development.
• Must have at least two full life-cycle SAP R/3 ECC 6.0 and / or SAP S/4 HANA implementation experience (Project Preparation till Go-Live) or greenfield implementation
