Position Overview
The Executive Assistant is responsible for providing full administrative and executive support to the Managing Director & Co-CEO and others as required. In addition to general administrative work, you may be responsible for scheduling meetings, organising events, taking minutes during sessions, maintaining databases and producing reports or presentations for their senior leadership team.
Responsibilities include but not limited to:
· Manage the Managing Director & Co-CEO calendar to effectively allocate their time and ensure all associated documentation is available as required;
· Responsible for diary management, meeting coordination and prioritisation of critical activities in support of the Managing Director & Co-CEO. Liaise with internal and external parties regarding availability;
· Assist in production of reports or papers as required;
· Manage travel arrangements, including flights, hotels, transfers and venues for the Managing Director & Co-CEO and be the central point of contact for all inquiries regarding travel bookings and associated expense claim management;
· Process financial payments, expense reimbursements and credit card reconciliation;
· Liaise regularly with internal and external stakeholders;
· Build relationships with internal groups to facilitate resolution of tasks and issues;
· Uphold a strict level of confidentiality;
· Support on other operational activity as required;
· Carry out other duties to benefit the business as required by management from time to time; and,
· Ad hoc administrative tasks as required.
Competencies (knowledge and soft skill requirements of this position):
· Excellent written and verbal communication skills in English and well-developed interpersonal skills;
· Proven ability to plan, co-ordinate and follow through on projects;
· Minimum 5 years executive administration experience supporting senior managers and their teams;
· Advanced user of all Microsoft Office products including Outlook, PowerPoint and Excel;
· Effectively work in an environment where time management, quality and proactive operations are required;
· Be part of a collaborative culture that is high performing, dynamic and fast-paced;
· Strong attention to detail and ability to priority tasks; and
· Demonstrated ability to work cooperatively in a team environment.
