• Organise and schedule meetings and events, including arrangement of venues, preparing agendas and materials
  
• Assist in the preparation of reports, presentations, and other documentation as needed. Ensure all materials are accurate and delivered on time.
• Minutes taking and ensure timely follow up on action items
• Act as the primary point of contact between Senior Management and internal/external stakeholders, i.e. handle phone calls, emails and correspondence.
• Provide administrative support, including email correspondence, document management, admin building, pantry, facilities logistics, events planning and setup
• Other admin duties – obtaining supplies, sorting/distributing mails, general office administrative tasks.

Requirements:

• Education in Business Administration, Management or related field
• Proven experience as a personal assistant, preferably supporting Senior Management
• Exceptional organizational and time-management skills
• Strong written and verbal communication skills
• Ability to prioritise tasks and work independently in a fast-paced environment
• Willing to work in construction site office during construction stage and Jurong Island. (Morning transportation pick-up points available at different parts of Singapore.)

Job Description :

• Assist the Restaurant Manager to manage the operations of the outlet as well as maximize revenue and minimize costs in accordance with the budget guidelines.
• Ensure that the highest standard of quality relating to service, presentation, supervision and control of food and beverage is maintained (in accordance with the goals/targets of the outlet).
• Undertake responsibility for all key area of management in the absence of the Restaurant Manager.
• Assist in the reinforcement of a flexible workforce and maintain an effective payroll control by practising multi-tasking and multi-skilling thus minimize utilisation of casual labour.
• Adhere strictly to the operating budget and ensure that all costs are controlled.
• Be proactive to further increase revenue and participate in the formulation of annual operating budgets which will form part of the Hotel’s annual business plan.
• Acquire and account for the correct settlement of all sales and be responsible for cash floats and the management of micros operating system.’
• Identify and rectify any errors an manage outlet effectively to maximise the use of any resource in accomplishing targets.
• Assist the Restaurant Manager to ensure that the outlet is managed efficiently according to the established concept statements and adhere to Company and Hotel Policies & Procedures.
• Have full working knowledge and capability to supervise and implement a flexible scheduling based on business patterns by having the right mix of full time and part time staff.
• Delegate responsibilities to subordinates and to check their performance periodically and maintaining a strong and efficient team.
• Conduct daily pre-shift briefings to employees on VIP bookings, reservations status, service-related matters, hotel news and information and food and beverage knowledge.
• Established and strictly adhere to the par stocks for all operating equipment, supplies, inventory items and to ensure that the outlet is adequately equipped.
• Establish good rapport with guests, maintaining good guests’ relationship, build guests profiles/database and handle all guest complaints, requests and enquiries of food, beverage and service in a prompt, courteous and sincere manner.
• Assist in the planning of the outlet weekly roster and work schedule to ensure that the outlet is adequately staffed to handle the level of business.
• Coordinate all Repair and Maintenance and issues repair and maintenance job orders to ensure the proper maintenance of the outlet.
• Monitor and analyse the activities and trends of other hotel’s competitive restaurants and bar.
• Understand and strictly adhere to the Rules & Regulations and Hotel’s policy on Fire, Hygiene, Health and Safety.
• Assist in the recruitment and selection of employees and their training needs.
• Ensure that all employees go through the orientation induction process.
• Conduct regular, meaningful communication such as feedback on performance, involvement in planning and setting objectives with staff. This is done through the yearly performance appraisal process.
• Undertake any other ad-hoc duties relevant to your role, as assigned by the Floor Manager.

Duties and Responsibilities (including but not limited to):

1. Member of OE internal Senior Project Management Team (PMT) that meets regularly (chaired by DPD/SOR) to discuss progress and resolve any internal OE issues.
2. Overall management and leadership of the multi-disciplinary Resident Site Staff Team, supervision of temporary and permanent construction works to ensure that Contractor’s conform with the Contract Specifications and other obligations under their Contracts.
3. Fulfil the statutory role of Qualified Person (Supervision) (QP(S)) under the Building Control Act for all Construction Contracts including all specific obligations and sign-offs.
4. Joint Leadership on HSE for the Project along with senior management of NEA, OE and the Contractors, with specific focus on construction safety and environmental controls during construction.
5. Work closely with the EDM and other Core Team discipline managers in the Core Team to provide construction related input to the review/approval of design and technical submissions made by the Contractors.
6. Review/sign-off (with the necessary inputs from the relevant RSS and Core Team members) of construction related Method Statements and all other site-related documentation required under the construction Contracts.
7. Direct liaison with NEA’s Deputy Project Director and Technical Directors as may be required. Direct Liaison with the PUB Detailed Design Consultant’s Construction Manager regarding the interfacing and logistics management between the IWMF and TWRP projects.
8. Attendance (if required) at NEA Monthly Project Steering Committee Meetings chaired by NEA DCEO and any other relevant high-level meetings as required by MEWR or NEA
9. Organising and chairing regular Progress Meetings with Contractors to review progress (with the assistance of the OE Senior Planner) and performance/quality and to resolve any site related issues including interfacing between IWMF Contractors and other Contractors.
10. Review (with the input and support of the relevant RSS and Core team members) and sign-off of Contractor’s Monthly Payment Claims.
11. Work closely with and support the Contracts Manager in the assessment of Contractor claims, VO and EOT requests.
12. Organising and chairing regular internal RSS team co-ordination meetings as may be required.
13. Any other matters that may from time to time be delegated by the DPD/SOR or the PD/SO.
