DUTIES & RESPONSIBILITIES

The Opportunity:

Our client has been actively engaged in the Luxury Retail sector for over 23 years now, operating in both retail and wholesale segments across Greater China, encompassing Hong Kong, Macau, Taipei, and key cities in Mainland China. Reporting to the Sales and Marketing Manager, we are looking for a Sales Operations Executive to join their wholesale business to support the team on daily wholesale operations coordination, the full spectrum of order processing and logistics arrangement, merchandising and retail operations activities.

The Job:

• Manage day-to-day operations of the wholesale division, emphasizing effective coordination internally and externally across sales, products, budgets, and procedures within the designated sales area. This focus aims to achieve objectives related to sales, stock management, quality control, brand image, and planned expansion.
• Manage the entire process of order processing, overseeing the creation and confirmation of orders by liaising with the Customer Service team and clients. Track delivery statuses, manage accounts payable, service rates, and training initiatives with meticulous attention to detail.
• Regularly consolidate clients' sales results, KPIs, and business reviews on a weekly and monthly basis. Offer support to management by conducting specific business and commercial analyses.
• Assist the team during buying sessions by managing appointment schedules, preparing for buys, consolidating orders, and conducting thorough buy analyses.
• Work collaboratively with the sales and finance departments to streamline payment processes.
• Conduct comprehensive checks on documentation provided by logistics providers, ensuring compliance with trade transaction requirements.
• Recommend Visual Merchandising props for customers in alignment with brand guidelines, collaborating closely with the sales team to ensure cohesive and brand-consistent displays.
• Collaborate effectively with both internal and external stakeholders on all operational and logistics-related activities.
• Provide support for store events activation and diligently follow up on results.

The Talent:

• Prior experience in retail or wholesale division
• Strong interpersonal skills, meticulousness, and high independence to complete tasks within deadlines
• Proficient in Microsoft Office, particularly Excel and PowerPoint, to deliver advanced data analysis and presentation capabilities.
• Ability to communicate in Mandarin to liaise with native Chinese-speaking stakeholders located in Greater China

Your day to day

voco Orchard Singapore is seeking a passionate and dynamic individual to join the team as a Catering Sales Manager. As Catering Sales Manager, you will drive business through direct sales solicitation for the wedding segment and support overall catering, weddings and catering revenue for the hotel.

FINANCIAL RETURNS

• Manage banquets / events functions to achieve the optimum departmental revenue targets
• Follow up on potential sales leads
• Design and plan meeting and function packages to maxamise the conversions and profitability for the hotel.
• Negotiate and review events packages offered to clients
• Represent the hotel in sales blitz, roadshows and events as required
• Produce monthly sales-related reports and sales forecasts for assigned area of responsibility.
• Prepare contracts for confirmed events
• Be updated current meeting and function trends and competitive packages in the market

PEOPLE

• Work closely with Banquet and other departments to facilitate services agreed upon and to ensure the overall success of the event
• Promote teamwork and quality service through daily communication and coordination with other departments.
• Establish strong working relationship with Wedding couples and maintain accurate and updated information about their needs for their function
• Maintain a confident and professional approach when interacting with clients and suppliers

GUEST EXPERIENCE

• Promote guest satisfaction and encourage referrals
• Handle feedback and resolve complaints from guests
• Maintain client files and update information daily in accordance with established departmental policies and procedures.
• Follow up with clients regularly during and after departure to ensure satisfaction
• Be a “Trusted Advisor” for the meeting or event organiser

RESPONSIBLE BUSINESS

• Monitor and handle inquiry calls and provide client proposals in accordance with established departmental policies and procedures.
• Prepare event orders, proposals, confirmation and other agreements
• Perform other duties as assigned

What we need from you

• Possess at least a Diploma in Marketing/Tourism/Hospitality Management/Travel or equivalent
• Minimum of 2 years sales experience required, preferably in a hotel.
• Suitable candidates with lesser experience will be considered for the Manager position.
• May be required to work nights, weekends, and/or holidays.
• Good working knowledge of MS Office
• Must be able to work independently and simultaneously manage multiple tasks
